Sales Engagement Platform Comparison: Outreach, Salesloft, Apollo, Instantly and More

On this page

What Sales Engagement Platforms Do

Sales engagement platforms (SEPs) automate and manage outbound sales communication. They handle email sequences, call tracking, social touches, task management and analytics for sales teams doing outbound prospecting.

They sit between the CRM (which stores contact data) and the inbox (which sends emails), adding sequencing, automation and analytics to the outbound process.

The Platforms

This comparison covers six platforms across different price points and team sizes:

  • Outreach (enterprise leader).
  • Salesloft (enterprise, recently acquired by Vista Equity).
  • Apollo.io (data + engagement all-in-one).
  • Instantly (high-volume cold email).
  • Reply.io (mid-market multi-channel).
  • Woodpecker (small team cold email).

Core Features Comparison

Email sequencing

Feature Outreach Salesloft Apollo Instantly Reply.io Woodpecker
Multi-step sequences Yes Yes Yes Yes Yes Yes
A/B testing Yes Yes Yes Yes Yes Yes
Conditional branching Yes Yes Basic Basic Yes Basic
Personalisation variables Advanced Advanced Standard Standard Standard Standard
AI-generated emails Yes Yes Yes Yes Yes No
Send-time optimisation Yes Yes No Yes No No
Auto-pause on reply Yes Yes Yes Yes Yes Yes
Out-of-office detection Yes Yes Yes Yes Yes Yes

Outreach and Salesloft offer the most sophisticated sequencing: conditional branches based on recipient behaviour (opened but did not click, clicked but did not reply), A/B testing across entire sequence paths, and AI-powered content suggestions.

Apollo provides solid sequencing with the advantage of having its own contact database built in, so you can build lists and launch sequences from one platform.

Instantly focuses on high-volume sending with email warm-up and rotation across multiple sending accounts, which is useful for agencies and teams sending thousands of cold emails daily.

Multi-channel capabilities

Channel Outreach Salesloft Apollo Instantly Reply.io Woodpecker
Email Yes Yes Yes Yes Yes Yes
Phone (dialer) Yes (built-in) Yes (built-in) Yes (built-in) No Yes No
LinkedIn Yes (tasks) Yes (tasks) Yes (automation) No Yes (automation) Yes (tasks)
SMS Yes Yes No No Yes No
Video Vidyard integration Vidyard integration No No No No

Key difference: Outreach and Salesloft have built-in dialers with call recording, transcription and analytics. This matters for sales teams that combine email and phone outreach. Apollo added a dialer but it is less mature. Instantly and Woodpecker are email-focused.

LinkedIn integration varies significantly. Reply.io and Apollo can automate LinkedIn actions (profile views, connection requests, messages) through browser automation. Outreach and Salesloft create LinkedIn tasks for reps to complete manually, which is safer from LinkedIn's perspective but less automated.

CRM integration

CRM Outreach Salesloft Apollo Instantly Reply.io Woodpecker
Salesforce Deep native Deep native Yes Basic Yes Basic
HubSpot Yes Yes Yes Yes Yes Yes
Pipedrive Limited Limited Yes Yes Yes Yes
Zoho CRM Limited Limited Yes No Yes No
Microsoft Dynamics Yes Yes Limited No Limited No

Outreach and Salesloft have the deepest Salesforce integrations: bi-directional sync, activity logging, opportunity association, and the ability to trigger sequences from Salesforce workflows. They were built for Salesforce-centric sales teams.

Apollo has its own built-in CRM (lightweight), plus integrations with major CRMs. Good for teams that do not have a CRM yet.

Instantly has minimal CRM integration. It is designed for cold email at scale, not enterprise sales workflows.

Deliverability tools

Feature Outreach Salesloft Apollo Instantly Reply.io Woodpecker
Email warm-up No (third-party) No (third-party) Yes Yes (built-in) Yes Yes
Inbox rotation Limited Limited Yes Yes (core feature) Yes Yes
Sending limits per account Configurable Configurable Configurable Configurable Configurable Configurable
Bounce detection Yes Yes Yes Yes Yes Yes
Spam score testing No No No Yes No No
Custom tracking domain Yes Yes Yes Yes Yes Yes

Instantly stands out for deliverability features. It was built around the problem of sending high volumes without landing in spam. Built-in warm-up, inbox rotation across unlimited sending accounts, and spam score testing.

Outreach and Salesloft assume you have good email infrastructure and focus on the sales workflow rather than deliverability mechanics. Their users typically have IT teams managing email infrastructure.

See Email Warm-Up Strategies and Cold Email Infrastructure Setup.

Contact Data

Built-in databases

Platform Contact database Size (approximate) Email verification
Outreach No (requires third-party data) N/A No
Salesloft No (requires third-party data) N/A No
Apollo Yes 250M+ contacts Yes (built-in)
Instantly Yes (B2B Lead Finder) 160M+ contacts Yes
Reply.io Yes (limited) 140M+ contacts Yes
Woodpecker No N/A Yes (verification only)

Apollo's data advantage is significant for smaller teams. Instead of subscribing to a separate data provider (ZoomInfo, Lusha, Cognism), Apollo provides contact data, email verification and outreach sequencing in one platform.

Outreach and Salesloft are platform-agnostic about data. Enterprise teams typically have existing data subscriptions (ZoomInfo, Cognism) and feed contacts into the SEP.

Importing extracted lists

After extracting and deduplicating email addresses from various sources using Email Extractor, every platform supports CSV import for prospect lists.

Platform Import method Deduplication on import
Outreach CSV upload, API, CRM sync Yes (by email)
Salesloft CSV upload, API, CRM sync Yes (by email)
Apollo CSV upload, API, CRM sync Yes (by email)
Instantly CSV upload, API Yes (by email)
Reply.io CSV upload, API, CRM sync Yes (by email)
Woodpecker CSV upload, API Yes (by email)

Analytics and Reporting

Email analytics

All platforms provide standard metrics: open rate, click rate, reply rate, bounce rate, unsubscribe rate.

Advanced analytics

Feature Outreach Salesloft Apollo Instantly Reply.io Woodpecker
Sequence-level analytics Yes Yes Yes Yes Yes Yes
Rep-level analytics Yes Yes Basic No Yes No
A/B test reporting Yes Yes Yes Yes Yes Yes
Revenue attribution Yes Yes Basic No No No
Pipeline influence Yes Yes No No No No
Custom dashboards Yes Yes No No Basic No

Outreach and Salesloft provide the most comprehensive analytics, including rep performance comparisons, pipeline influence reporting and revenue attribution tied to specific sequences. This is what enterprise sales leaders need for coaching and forecasting.

Instantly focuses on deliverability analytics: which sending accounts are performing, which emails are landing in spam, warm-up progress.

Pricing

Approximate pricing (check vendor websites for current pricing):

Platform Starting price Billing model Free tier
Outreach ~$100/user/month Annual contract No
Salesloft ~$100/user/month Annual contract No
Apollo $49/user/month Monthly or annual Yes (limited)
Instantly $30/month Monthly or annual No (free trial)
Reply.io $49/user/month Monthly or annual Yes (limited)
Woodpecker $29/month Monthly Yes (free trial)

Enterprise pricing (Outreach, Salesloft): Published starting prices are for base plans. Enterprise features (advanced analytics, custom integrations, dedicated support) push costs significantly higher. Annual contracts are typical. Minimum seat counts may apply.

Growth pricing (Apollo, Reply.io): Per-user monthly pricing scales linearly. No minimum seats. Good for growing teams.

Volume pricing (Instantly): Priced by sending accounts and volume, not users. More cost-effective for agencies and teams focused on high-volume cold email.

Best Fit by Scenario

Enterprise sales team (50+ reps, Salesforce CRM)

Best: Outreach or Salesloft.

These teams need deep CRM integration, rep-level analytics, revenue attribution, phone + email + social multi-channel sequences, and coaching tools. The higher cost is justified by the feature set and support.

Choose Outreach for the most advanced sequencing and AI features.

Choose Salesloft for stronger coaching and conversation intelligence features.

Growth-stage startup (5-20 reps, need data + outreach)

Best: Apollo.io.

Built-in contact database eliminates the need for a separate data subscription. CRM included (or integrates with HubSpot/Salesforce). Sequencing, dialer and LinkedIn automation in one platform. Price per user is reasonable.

Agency or consultant (high-volume cold email)

Best: Instantly.

Unlimited sending accounts, built-in warm-up, inbox rotation. Designed for managing cold email at scale across multiple client campaigns. Deliverability-first architecture.

Small team or solo founder (1-5 people)

Best: Woodpecker or Reply.io.

Woodpecker is the simplest and most affordable for email-only cold outreach. Reply.io adds multi-channel (LinkedIn, phone) at a moderate price increase.

Team switching from manual outreach

Best: Apollo.io or Reply.io.

Both offer enough features to graduate from manual email without the complexity of enterprise platforms. Apollo is better if you also need contact data. Reply.io is better for multi-channel sequences.

Preparing Lists for Import

Regardless of which platform you choose, clean your prospect list before import:

  1. Consolidate contacts from all sources (CRM exports, event lists, scraped data, purchased lists).
  2. Upload to Email Extractor to extract and deduplicate email addresses across file formats.
  3. Verify emails using the platform's built-in verification (Apollo, Instantly, Reply.io, Woodpecker) or a third-party service.
  4. Segment by persona, industry or company size before importing.
  5. Import into the platform with appropriate tags for tracking.
