What to Do with the Results
Request reviews from past customers
Online reviews are critical for moving companies. Extract from invoices and contracts for completed moves over the past year. The resulting list gives you email addresses of customers you can contact to request reviews on Google, Yelp or other platforms. Sending review requests close to the move date is more effective, but extracting from older records helps catch customers who were never asked.
Build a referral partner list
Moving companies often receive referrals from real estate agents, property managers, corporate relocation departments and storage facilities. Extract from correspondence, partnership agreements and business card spreadsheets to build a single list of all referral contacts. Use this list to send periodic updates about your services, seasonal availability and referral incentives.
Seasonal and promotional outreach
Moving volume is seasonal, with peaks in summer and at the end of the month. A consolidated customer list lets you send early-booking promotions during slower months or announce expanded service areas and new offerings to your entire customer base.
Segment by service type
If you download as CSV with sources, you can separate addresses by the type of file they came from:
- Residential customers from household move contracts.
- Commercial customers from office relocation agreements.
- Storage customers from storage rental records.
- Quote-only prospects from quote request exports (people who requested a quote but did not book).
Each segment responds to different messaging. Quote-only prospects may respond to a discount offer. Past residential customers may need your services again when they move next.
Consolidate after a system change
Moving companies that switch CRM, quoting, or invoicing software can use extraction to recover contact data from exports of the old system, ensuring no customer or partner addresses are lost in the transition.
Limitations to Know
- Email addresses only. The extracted list does not include customer names, move dates, origin/destination addresses, job size, or pricing. For complete customer data, use your CRM or quoting platform's export.
- Quotes vs. bookings. Email Extractor does not distinguish between someone who requested a quote and someone who booked a move. Both addresses appear in the list. Cross-reference with your booking records to separate prospects from customers.
- Scanned documents. Paper contracts or handwritten quote sheets scanned to PDF without OCR will not yield results. Run them through OCR software first. See Extract emails from PDF files.
