The Problem
Plumbing companies, from one-person operations to multi-truck businesses, collect customer contact information through service calls, estimates, invoices, maintenance agreements and email correspondence. Relationships with property managers, general contractors, real estate agents and suppliers add more contacts. Over years of operation, this information ends up in field service software, accounting platforms, email inboxes and paper files.
When a plumbing company wants to send seasonal maintenance reminders (winterising pipes, water heater flushes), announce expanded services, request reviews from recent customers, or follow up with property managers about maintenance contracts, building a complete email list from all these sources manually is impractical.

- Service invoices. Billing records with customer email addresses, typically exported from field service management or accounting software as PDF, CSV or XLSX files.
- Estimates and quotes. Written estimates sent to customers, usually saved as PDF files from estimating software.

What to Do with the Results
Send seasonal maintenance reminders
Plumbing issues are often seasonal. Frozen pipes in winter, sewer line backups in spring, water heater failures in cold weather. A consolidated customer list lets you send timely reminders about preventive maintenance before problems occur.
Review the list before sending. Extraction captures every email address in the files, which will include supplier contacts, GC contacts, inspector addresses and your own company email. Remove non-customer addresses.
Request reviews
Online reviews drive business for service trades. Extract from invoices for jobs completed in the past 30 to 60 days and send review requests while the service is fresh in the customer's memory.
Build a property manager outreach list
Extract from property management contracts, work orders and correspondence to compile a list of every property manager you have worked with. Use it to announce new services, share seasonal reminders they can pass to tenants, or propose maintenance contracts.
Segment residential and commercial
If you download as CSV with sources, addresses from residential service invoices can be separated from those found in commercial contracts or property management correspondence. Commercial contacts may respond to different messaging than homeowners.
Re-engage past customers
Extract from older invoices and estimates to find customers you have not served recently. A reminder about water heater maintenance, drain cleaning or fixture upgrades can prompt a service call from someone who has not thought about their plumbing since the last repair.
Consolidate after a software change
Plumbing companies that switch field service management or accounting platforms can use extraction to recover contact data from the old system's exports, ensuring no customer addresses are lost.
Limitations to Know
- Email addresses only. The extracted list does not include customer names, service addresses, job descriptions, or billing amounts. For complete customer records, use your field service platform's export.
- Tenants vs. property owners. In rental properties, the person who requested the service (the tenant) may not be the person who pays the bill (the property owner or manager). Both addresses may appear in your files. Consider who should receive marketing communications.
- Scanned documents. Paper invoices or handwritten estimates scanned to PDF without OCR will not yield results. Run them through OCR software first. See Extract emails from PDF files.
- One-time vs. repeat customers. Email Extractor does not indicate how often a customer has used your services. Cross-reference with your job history to identify repeat customers versus one-time callers.
