Email Extraction for Pet Groomers: Build a Client List from Booking and Intake Records

On this page

The Problem

Pet grooming businesses collect client contact information through booking confirmations, new-client intake forms, invoices, vaccination records and email or text correspondence. Over time, this information ends up scattered across scheduling software, paper intake binders, email inboxes and personal spreadsheets.

When a groomer wants to send holiday booking reminders, announce a new service (teeth cleaning, de-shedding treatments, nail art), notify clients about schedule changes, or offer a rebooking discount to lapsed clients, pulling together a complete client email list from all these sources takes time away from the grooming table.

Where Pet Groomer Email Addresses Live

  • Booking and scheduling records. Scheduling platform exports containing client names, pet names and contact details, typically CSV or XLSX files.
  • New-client intake forms. Forms filled out when a pet visits for the first time, including owner contact information and pet details. These may be paper forms scanned to PDF, or digital forms exported as spreadsheets.
  • Invoices and receipts. Billing records with client email addresses from POS systems or invoicing software, typically PDF or CSV exports.
  • Email correspondence. Booking requests, rescheduling messages and follow-up emails saved as EML or MSG files.
  • Vaccination and health records. Documents provided by clients or shared by veterinary offices, sometimes containing owner email addresses, usually PDF files.
  • Review and feedback requests. Spreadsheets or email records tracking clients who were asked to leave reviews.
  • Supplier contacts. Invoices from grooming supply companies, shampoo distributors and equipment vendors.

How to Extract

  1. Gather files containing client email addresses from your booking exports, intake forms, invoices and email archives.
  2. Go to bulkemailextractor.com.
  3. Select "Text and files."
  4. Upload the files. Mix file types as needed. Up to 25 MB per file, 100 MB per batch.
  5. Click "Extract emails."
  6. Review the results. Duplicates are removed automatically.
  7. Download as CSV with sources to see which file each address came from.

What to Do with the Results

Send seasonal booking reminders

Pet grooming demand spikes before holidays, family gatherings and seasonal coat changes. A consolidated client list lets you send booking reminders a few weeks before busy periods, encouraging clients to book early rather than calling at the last minute.

Review the list before sending. Extraction captures every email address in the files, including supplier contacts, your own business email and any automated platform addresses. Remove non-client addresses.

Re-engage lapsed clients

Extract from older booking records and invoices to find clients who have not visited recently. A friendly email offering a rebooking discount or announcing a new service can bring them back. Pets still need grooming, so lapsed clients are often a matter of forgetfulness rather than dissatisfaction.

Announce new services or pricing changes

When you add a new service (spa treatments, creative grooming, mobile grooming) or adjust pricing, a single email to your full client list ensures everyone is informed. This is more efficient than telling clients one at a time as they come in.

Request reviews

Extract from recent invoices to build a list of clients who visited in the past month. Send a short email requesting a Google or Yelp review while the visit is still fresh.

Prepare for a software switch

Groomers switching scheduling or POS platforms can use extraction to gather all client email addresses from the old system's exports. This ensures no client contacts are lost in the transition.

Limitations to Know

  • Email addresses only. The extracted list does not include client names, pet names, breed information, grooming preferences, or visit history. For complete client records, use your scheduling platform's export.
  • Household duplicates. Multiple pets in the same household may be booked under different family members' email addresses. The extracted list will include all of them. This is usually fine for communication purposes.
  • Scanned intake forms. Paper intake forms scanned to PDF without OCR will not yield results. Run them through OCR software first. See Extract emails from PDF files.
