What ICS Files Contain

ICS (iCalendar) files are the universal standard for calendar data exchange. Every calendar application -- Google Calendar, Outlook, Apple Calendar, Thunderbird, Zoho Calendar -- can export and import ICS files. An ICS file is a plain text file with the .ics extension that contains structured event data including attendee email addresses, organiser email addresses, event titles, dates, locations and descriptions:

ICS file structure

An ICS file is plain text. A single event looks like this:

Every mailto: line contains an email address. A calendar export with hundreds or thousands of events contains hundreds or thousands of email addresses embedded in ORGANIZER and ATTENDEE lines, plus additional email addresses that may appear in DESCRIPTION fields (dial-in details, forwarded invitations, contact information pasted into meeting notes).

Extracting Emails from ICS Files

ICS files are plain text files. Email Extractor processes them as text files: upload the .ics file (or multiple ICS files from a multi-calendar export) and Email Extractor extracts every email address from the file content, including addresses in ORGANIZER lines, ATTENDEE lines and DESCRIPTION fields. Deduplication removes duplicates across events (the same colleague who attended 50 meetings with you appears once in the output).

Format-specific considerations

ICS files are plain text with a specific structure, but Email Extractor treats them as text and extracts all email-shaped strings. This means:

  • Email addresses are extracted regardless of whether they are in ORGANIZER, ATTENDEE, DESCRIPTION or any other field
  • The PARTSTAT parameter (ACCEPTED, DECLINED, TENTATIVE, NEEDS-ACTION) is not preserved in the extraction; Email Extractor extracts email addresses only, not RSVP status
  • The CN (common name) parameter is not preserved; Email Extractor extracts email addresses, not names
  • If you need to know which attendees accepted versus declined, you would need to review the ICS file itself or use your calendar application's attendee tracking
