What Google Takeout Contains
Google Takeout (takeout.google.com) lets any Google account holder download a copy of their data from Google services. For email extraction purposes, the most valuable exports are Gmail (which contains every email sent and received), Google Contacts (which contains the user's contact database), Google Groups (which contains group membership lists), Google Calendar (which contains event invitees) and Google Drive (which contains documents, spreadsheets and other files that may include email addresses in their content):
Google service
Export format

Size
Gmail
MBOX file (one file per label or one file for all mail)
Every email address the user has ever communicated with: From, To, CC, BCC headers; email addresses mentioned in message bodies; email addresses in signatures; mailing list headers (List-Unsubscribe, List-Post)
1 MB-50+ GB depending on account age and attachment volume
Google Contacts
vCard (VCF) file or CSV
All contacts with email addresses; may include multiple email addresses per contact (work, personal, other); contact groups
Typically under 10 MB even for large contact databases
Google Groups
MBOX file per group
All messages in the group; member email addresses visible in From/To/CC headers and message content; group membership lists if the user is an owner or manager
Varies by group activity; active groups can be several GB
Google Calendar
ICS file
Event organiser email addresses; invitee/attendee email addresses; email addresses in event descriptions and notes
Typically under 50 MB
Google Drive
Original file formats (DOCX, XLSX, PDF, etc.) or Google format converted to Microsoft format
Email addresses embedded in documents, spreadsheets, presentations; email addresses in shared file metadata
Varies widely; can be hundreds of GB
Google Chat
JSON files
Participant email addresses; email addresses shared in messages
Varies by chat history
Step-by-Step Extraction
Creating the Takeout export
Step
Action
Details
1. Go to Google Takeout
Visit takeout.google.com while signed in to the Google account
Works with personal Gmail accounts and Google Workspace accounts (if the Workspace admin has not disabled Takeout)
2. Select services to export
Deselect all; then select: Gmail, Contacts, Groups (if applicable), Calendar
Selecting only the services you need reduces export size and processing time; a full Google Takeout with Drive can be hundreds of GB
3. Configure Gmail export
Click "All Mail data included" under Gmail to choose: All mail (everything) or specific labels (Inbox, Sent, categories)
Exporting only Sent and Inbox is sufficient for most contact extraction use cases; exporting All Mail captures every message including archived, categorised and filtered messages
4. Choose export format
File type: .zip or .tgz; Size: 1 GB, 2 GB, 4 GB, 10 GB or 50 GB (Takeout splits the export into multiple files if it exceeds the chosen size)
ZIP is easier to work with on Windows and macOS; choose a larger split size to reduce the number of files to download
5. Choose delivery method
Send download link via email; add to Drive; add to Dropbox; add to OneDrive; add to Box
Email delivery is simplest; Drive delivery is useful for very large exports but counts against Drive storage quota
6. Create export and wait
Click "Create export"; Google processes the request; export typically takes minutes to hours depending on data volume; you receive an email when the export is ready
Large accounts (10+ years of Gmail) may take 24-48 hours to process
Processing Gmail MBOX files
Email Extractor does not directly support MBOX files. Convert the MBOX file to individual EML files first, then upload the EML files:
Step
Action
Details
1. Locate the MBOX file
Unzip the Takeout download; navigate to Takeout > Mail; the MBOX file is named "All mail Including Spam and Trash.mbox" or named after specific labels (Inbox.mbox, Sent.mbox, etc.)
The MBOX file contains all selected Gmail messages in a single file
2. Convert MBOX to EML
Option A: use Thunderbird (free) -- import the MBOX file, then use the ImportExportTools NG add-on to export all messages as EML files. Option B: use a Python script with the built-in mailbox module to split the MBOX into individual EML files. Option C: use a standalone MBOX splitter tool
Conversion creates one EML file per message; a Gmail account with 50,000 messages will produce 50,000 EML files
3. Upload EML files to Email Extractor
Upload the converted EML files to Email Extractor in batches (up to 25 MB per file, 100 MB per batch)
Email Extractor extracts email addresses from EML message headers (From, To, CC, Reply-To) and message body text; it automatically deduplicates across all uploaded files
4. Download results
Download as CSV with sources to see which EML file (and therefore which original email message) each address came from
The source column helps distinguish correspondents (header addresses) from mentioned addresses (body text)
Processing Google Contacts VCF files
Step
Action
Details
1. Locate the VCF file
Unzip the Takeout download; navigate to Takeout > Contacts; the file is typically named "All Contacts.vcf" or similar
VCF (vCard) files contain contact records with structured fields including email addresses
2. Upload directly to Email Extractor
Upload the VCF file directly to Email Extractor; VCF is a supported file type
Email Extractor reads the EMAIL fields from each vCard entry; contacts with multiple email addresses (work, personal) will have all addresses extracted
3. Compare with Gmail extraction
The contacts VCF contains your curated contact list; the Gmail MBOX extraction contains everyone you have ever emailed or received email from; the difference reveals correspondents not in your contacts (potential contacts to add) and contacts you have never emailed (potentially outdated)
Download both result sets as CSV for comparison
Processing Google Calendar ICS files
Step
Action
Details
1. Locate the ICS file
Unzip the Takeout download; navigate to Takeout > Calendar; one ICS file per calendar
ICS files contain calendar events with organiser and attendee email addresses
2. Upload directly to Email Extractor
Upload the ICS file directly to Email Extractor; ICS files are text-based and Email Extractor will find email addresses in ORGANIZER and ATTENDEE fields as well as DESCRIPTION fields
ICS files are not in the 19 supported file types list, but they are plain text files; rename to .txt if needed for upload
3. Review results
Calendar attendee emails represent people you have met with; these are often high-value professional contacts
Meeting attendees who appear frequently are likely close colleagues or regular business contacts

Use Cases
Use case
Which Takeout services to export
Workflow
Migrating from Gmail to Outlook/Microsoft 365
Gmail (all mail), Contacts, Calendar
Extract all email addresses from Gmail MBOX to identify correspondents; import contacts VCF to Outlook; use the extracted correspondent list to verify no important contacts were missed in the migration
Recovering contacts after losing phone/device
Contacts
Download Contacts VCF; upload to Email Extractor; the result is a clean list of all contact email addresses that can be imported to any new device or email client
Building a professional network list
Gmail (Sent only), Calendar
Extract email addresses from Sent mail (people you have emailed) and Calendar (people you have met with); this represents your active professional network; deduplicate against your current CRM or contact manager
Compliance / litigation hold
Gmail (all mail for specific date range)
Export Gmail for the relevant time period; convert and extract all email addresses; the unique list identifies all parties in communications during that period
Cleaning up a Google Contacts database
Contacts
Export Contacts VCF; upload to Email Extractor; the deduplicated list reveals duplicate contacts (same email in multiple entries); compare against Gmail extraction to identify contacts you have never emailed (candidates for removal)
Backing up before deleting a Google account
Gmail, Contacts, Calendar, Drive
Export everything; extract and save email addresses separately from the raw export; even if the MBOX/VCF files become difficult to open later, the extracted email list remains usable
Google Workspace Admin Exports
Google Workspace administrators have additional export options beyond individual Takeout:
Export method
What it covers
Who can use it
Format
Google Workspace Admin data export
All users' data across the organisation; includes Gmail, Drive, Calendar, Groups for every user
Super Admin only; available for Business Plus, Enterprise, Education and Enterprise for Education plans
ZIP files per user; same format as individual Takeout
Google Vault export
Gmail messages, Chat messages, Drive files, Groups messages; filtered by user, date range, search terms
Vault administrators; requires Google Vault licence (included in Business Plus, Enterprise)
Migration tool for moving from Google Workspace to another Google Workspace account or from other platforms
Admin with migration privileges
Direct migration; not typically used for email extraction
For organisation-wide contact extraction, use Admin data export or Vault export to get MBOX files for all users, then process through the same MBOX-to-EML-to-Email Extractor workflow.
