Extracting Emails from VCF Files: vCard Exports from iPhone, Android, Google Contacts, Outlook, CRM Systems and Business Card Scanners

On this page

What VCF Files Are

VCF (Virtual Contact File, also called vCard) is a standard file format for storing contact information. When you export contacts from your phone, email client or contact management tool, the result is usually a .vcf file containing one or more contact records. Each record can include a person's name, one or more email addresses, phone numbers, physical addresses, organisation, title, notes and other fields:

Source How to export as VCF What you get
iPhone (iOS Contacts) Settings > [Your Name] > iCloud > Contacts (ensure sync is on); go to icloud.com/contacts; select contacts; click the gear icon > Export vCard Single .vcf file containing all selected contacts; each contact may have multiple email fields (home, work, other); multi-contact VCF file
Android (Google Contacts) Google Contacts (contacts.google.com) > Export > Google CSV or vCard (for VCF); or Settings > Google > Contacts > Export Single .vcf file containing all contacts; each contact may have multiple email labels (home, work, other, custom)
Google Contacts (web) contacts.google.com > Export > vCard (for Google Contacts); select specific contacts or all .vcf file; can export all or selected contacts
Microsoft Outlook (desktop) Open Contacts > Select contacts (or all) > File > Save As > vCard Files (.vcf); or export individual contacts Individual .vcf files (one per contact) or, with some methods, a combined file; Outlook exports one VCF per contact by default, which means hundreds of individual files for a large contact list
Microsoft Outlook (web / Outlook.com) People > Manage Contacts > Export Contacts > choose format .csv is the default export format for Outlook web; VCF export may require Outlook desktop or third-party tools
Apple Contacts (macOS) Select contacts > File > Export > Export vCard Single .vcf file containing all selected contacts
Samsung Contacts Contacts app > Menu > Manage Contacts > Import/Export > Export to device storage .vcf file saved to device storage
CRM systems (Salesforce, HubSpot, etc.) Most CRM systems export as CSV, not VCF; some CRM mobile apps allow VCF export of individual contacts Varies; CSV is more common for bulk CRM exports
Business card scanners (CamCard, ABBYY Business Card Reader, Sansan, HubSpot card scanner) Export contacts from the scanning app; export format varies by app (VCF, CSV, or both) .vcf or .csv file containing scanned business card data; accuracy depends on the scanner app's OCR quality
LinkedIn (contact export) Settings & Privacy > Data Privacy > Get a copy of your data > Connections .csv file (not VCF); contains first name, last name, email address (if the connection shared it), company, position

VCF Structure

A VCF file is a plain text file with a specific structure. Each contact starts with BEGIN:VCARD and ends with END:VCARD. Email addresses appear on lines starting with EMAIL, sometimes with type labels:

VCF field What it contains Notes
EMAIL;type=INTERNET;type=HOME: Home email address Label varies: HOME, PERSONAL, or no label
EMAIL;type=INTERNET;type=WORK: Work email address Most common type for professional contacts
EMAIL;type=INTERNET;type=OTHER: Other/additional email address Catch-all for additional addresses
EMAIL;type=INTERNET: Email address with no type specified Common in older VCF files or simplified exports
EMAIL;type=pref: Preferred email address Indicates the primary or preferred email

A single contact can have multiple EMAIL lines, meaning one person may have 2-5 email addresses stored in their contact record (personal, work, old work, other). When you export your entire address book, the VCF file contains all contacts with all of their email addresses.

Extracting Emails from VCF Files

Email Extractor supports VCF files directly. Upload your .vcf file and Email Extractor reads the email fields from every contact record in the file, extracting all email addresses and deduplicating them:

Scenario What to do What you get
Single VCF file from one device Upload the .vcf file to Email Extractor All unique email addresses from all contacts in that file
Multiple VCF files (one per contact, as Outlook exports) Upload all individual .vcf files to Email Extractor at once (batch upload) All unique email addresses across all contact files, deduplicated
VCF files from multiple devices (iPhone + Android + work Outlook) Upload all .vcf files from all sources to Email Extractor together Deduplicated list of all unique email addresses across all devices; reveals how many contacts exist on multiple devices with the same or different email addresses
VCF file + CSV exports from other sources (LinkedIn CSV, CRM CSV, event attendee CSV) Upload the VCF file(s) and CSV file(s) together to Email Extractor All unique email addresses across VCF and CSV sources, deduplicated; one unified list from all contact sources
VCF file + other formats (HTML pages, PDF documents, spreadsheets) Upload all files together to Email Extractor Email Extractor handles all supported formats in one batch; extracts emails from each file type and deduplicates across all

Common VCF Extraction Challenges

Challenge Cause How Email Extractor handles it
Multiple email addresses per contact A contact has work email, personal email and an old email address Email Extractor extracts all email addresses from all EMAIL fields in each contact; all are included in the output; deduplication removes exact duplicates
Multi-contact VCF files (hundreds or thousands of contacts in one file) iPhone, Android and Google Contacts export all selected contacts into a single .vcf file Email Extractor processes the entire file regardless of how many contacts it contains; no need to split the file
Individual VCF files (one per contact) Outlook desktop exports each contact as a separate .vcf file Upload all files at once using batch upload; Email Extractor processes them all and deduplicates across files
Encoded characters in email addresses Some VCF files use quoted-printable or UTF-8 encoding for special characters Email Extractor extracts the email address from the encoded content
VCF files with no email fields Some contacts have phone numbers and addresses but no email These contacts have no email to extract; they are simply not included in the output (no error; they are skipped)
Contacts with only organisation email (info@, office@, support@) Business contacts where the personal email was not stored; only the general company email exists Email Extractor extracts whatever email address is present; generic addresses are included in the output; you can filter them out afterwards if desired
VCF version differences (vCard 2.1, 3.0, 4.0) Different devices and apps export different VCF versions; the field format varies slightly between versions Email Extractor reads email fields from all common VCF versions

Use Cases

Consolidating contacts from multiple devices and accounts

Source Export Upload to Email Extractor
Personal iPhone Export from iCloud: icloud.com/contacts > Select All > Export vCard Upload .vcf file
Work Outlook Export contacts from Outlook: File > Open & Export > Import/Export > Export to a file > Comma Separated Values (CSV) Upload .csv file
Google Contacts (personal Gmail) contacts.google.com > Export > vCard Upload .vcf file
LinkedIn connections Settings > Data Privacy > Get a copy of your data > Connections Upload .csv file
Business card scanner app Export from app (CamCard, ABBYY, etc.) as VCF or CSV Upload exported file

Upload all files together. The result is every unique email address you have across all devices, accounts and apps, deduplicated. This reveals how many unique contacts you actually have (rather than the sum of contacts across all devices, which double- or triple-counts people you know from multiple contexts).

Building an email list from collected business cards

Step Action Details
1. Scan business cards Use a business card scanning app (CamCard, ABBYY Business Card Reader, Microsoft Lens, HubSpot card scanner) to digitise all business cards Scanning creates a contact record with name, company, title, email, phone from each card; accuracy varies by app and card design
2. Export from scanner app Export all scanned contacts as VCF or CSV File contains all scanned contacts
3. Upload to Email Extractor Upload the exported file to Email Extractor Extract and deduplicate email addresses; some cards may have been scanned twice (creating duplicates); Email Extractor removes exact duplicate addresses
4. Verify Run the extracted email list through an email verification service Business card data may be months old (cards collected over time); email addresses may have changed since the card was printed; verification identifies invalid addresses before you send

Migrating contacts between platforms

Migration Steps
iPhone to Android (or vice versa) Export from source device as VCF; import VCF into target device/account; or upload to Email Extractor first to clean and deduplicate before importing to the new device
Personal contacts to CRM Export personal contacts as VCF; upload to Email Extractor to extract and deduplicate email addresses; import the clean email list into the CRM (most CRMs accept CSV import; download the Email Extractor result as CSV and import)
Multiple sources into one CRM Export from all sources (phone VCF, Outlook CSV, Gmail VCF, LinkedIn CSV, business card scanner VCF); upload all to Email Extractor for cross-source deduplication; import the deduplicated list into the CRM

Limitations

Limitation Details Workaround
Email Extractor extracts email addresses, not full contact records VCF files contain names, phone numbers, addresses and other data; Email Extractor extracts only the email addresses (this is by design: the tool is for email extraction and deduplication) If you need the full contact record (name + email + phone), import the VCF file directly into your target platform (CRM, email client, phone); use Email Extractor specifically when you need a clean email-only list
No OCR for scanned business cards If business cards were photographed but not processed by a scanner app (just photos saved as JPG/PNG), Email Extractor cannot extract email addresses from the images Use a business card scanner app first to convert images to VCF or CSV; then upload the exported file to Email Extractor
Email Extractor does not verify email addresses Extraction and deduplication are not the same as verification; an extracted email address may be correctly formatted but no longer active After extraction, run the list through an email verification service for deliverability assessment
