How to Extract Email Addresses from VCF and vCard Files

On this page

When VCF Files Are Useful

VCF (vCard) files are the standard format for exporting contacts from phones, email clients and CRM systems. A single .vcf file can contain one contact or hundreds. Each contact entry may include one or more email addresses alongside names, phone numbers and other details.

Common sources of VCF files include:

  • iPhone and Android contact exports
  • Outlook contact exports
  • Google Contacts exports (available alongside CSV)
  • macOS Contacts exports
  • CRM and address book application exports

If you need to pull just the email addresses from a VCF file, without names, phone numbers or other fields, Email Extractor handles that.

Extraction Steps

  1. Open Email Extractor.
  2. Select Text and files.
  3. Upload your .vcf file or drag it into the upload area. Maximum 25 MB per file, 100 MB per batch.
  4. Click Extract emails.
  5. Review the results. Duplicates are removed using case-insensitive matching.
  6. Copy individual addresses or download as TXT, CSV or CSV with sources.

Example

A file called contacts.vcf contains three vCard entries:

BEGIN:VCARD
VERSION:3.0
FN:Yuki Tanaka
EMAIL;TYPE=WORK:yuki@example.com
EMAIL;TYPE=HOME:yuki.personal@example.org
END:VCARD
BEGIN:VCARD
VERSION:3.0
FN:Priya Shah
EMAIL:priya@example.org
TEL:+44 20 1234 5678
END:VCARD
BEGIN:VCARD
VERSION:3.0
FN:Hans Müller
EMAIL;TYPE=WORK:hans@example.net
NOTE:Also reachable at backup@example.com
END:VCARD

After extraction, Email Extractor returns the following addresses:

The address backup@example.com from the NOTE field may or may not be extracted, depending on whether the note content is parsed. See the limitations section below.

What Email Extractor Reads

Email fields. The standard EMAIL property in vCard entries. This includes addresses labelled as work, home, or without a type label. Contacts with multiple email addresses have all of them extracted.

Multiple contacts. A single VCF file often contains many vCard entries (one per contact). Email Extractor reads all entries in the file.

Limitations

Arbitrary contact notes are not read. Email Extractor reads email fields from VCF files, not arbitrary fields like NOTE, DESCRIPTION or custom properties. An email address that appears only in a note or comment field rather than in an EMAIL property may not be extracted.

Names and other fields are not preserved. The output is a flat list of email addresses. Contact names, phone numbers, organisations and other vCard properties are not carried into the results. Email Extractor produces email-only output.

vCard versions. VCF files exist in several versions (2.1, 3.0, 4.0). The main structural differences between versions relate to encoding and property formatting. Standard EMAIL properties are present across all versions.

Encoding. Some older vCard files use quoted-printable encoding for names with special characters. Email addresses themselves are rarely encoded, but if a file uses unusual character encoding for the entire file, some entries may not be read correctly.

Exporting VCF Files from Common Sources

iPhone / iOS

  1. Open the Contacts app.
  2. To export all contacts, use iCloud: go to icloud.com/contacts, select all, and use the gear icon to export as vCard.
  3. To export individual contacts, open a contact, scroll down and tap Share Contact, then save the .vcf file.

Android

  1. Open the Contacts app.
  2. Tap the menu (three dots or lines) and select Settings or Manage contacts.
  3. Choose Export and save as a .vcf file.

Google Contacts

  1. Go to contacts.google.com.
  2. Select contacts or choose all.
  3. Click Export and choose vCard format.
  4. Download the .vcf file.

Google Contacts also exports as CSV. Either format works with Email Extractor. For CSV, see spreadsheet extraction.

Outlook

  1. In Outlook, go to People or Contacts.
  2. Select contacts and choose Forward Contact → As a Business Card to get individual VCF files, or use Import/Export to export contacts as CSV (VCF export may vary by Outlook version).

macOS Contacts

  1. Open the Contacts app.
  2. Select contacts (Cmd+A for all).
  3. Go to File → Export → Export vCard.
  4. Save the .vcf file.

Contacts with Multiple Email Addresses

Many contacts have more than one email address listed (work and personal, for example). Email Extractor extracts all email addresses from all contacts. The result is a flat list, not grouped by contact.

If you need to know which contact each address belongs to, the VCF file itself is your reference. Email Extractor's output does not preserve the association between addresses and contact names.

Troubleshooting

Fewer addresses than contacts

  • Not every contact has an email address. Contacts with only phone numbers or addresses produce no email results.
  • Check whether some contacts have their email in a note field rather than in a standard EMAIL property. Note fields may not be read.

Duplicate addresses across contacts

If the same email address appears on multiple contact entries (a common situation with merged or duplicated contacts), Email Extractor removes duplicates. The final list contains each address only once.

File appears empty

  • Open the VCF file in a text editor. You should see BEGIN:VCARD and END:VCARD markers. If the file is empty or contains only whitespace, the export may have failed.
  • Some applications export an empty VCF if no contacts were selected before export. Re-export with contacts selected.
