Business Card Data Sources
Networking events, trade shows, conferences and everyday business interactions generate contact data in many formats. The challenge is getting email addresses out of these varied sources and into a usable, deduplicated list:

Extracting Emails from Each Source
VCF (vCard) files
VCF is the standard format for contact data and contains structured email fields. Most business card scanner apps, phone contact apps and CRM card scanners can export to VCF.
Step
What to do
1. Export contacts to VCF
From your phone: Contacts app > Export > vCard. From a card scanner app: Export > VCF format. From a CRM: contact export may include VCF option
2. Upload to Email Extractor
Go to bulkemailextractor.com, select "Text and files," upload the .vcf file(s). Email Extractor reads the EMAIL fields from each vCard entry
3. Download results
Click "Extract emails," then download the deduplicated list as CSV
Email Extractor reads the email fields from VCF files and extracts all email addresses contained in those fields. Names and company information are not preserved in the output because Email Extractor produces email-only results. If you need names alongside emails, export from your card scanner app to CSV instead, which preserves the column structure.
Business card scanner app exports (CSV / XLSX)
Most card scanner apps export structured data as CSV or XLSX with columns for name, company, title, email, phone and address.
Step
What to do
1. Export from card scanner
CamCard: Contacts > Select all > Export > CSV. ABBYY Business Card Reader: Export > Spreadsheet. HubSpot card scanner: syncs directly to HubSpot; export from HubSpot contacts
2. If you only need emails
Upload the CSV or XLSX to Email Extractor. It scans every field and extracts email addresses, ignoring non-email data
3. If you need names + emails
Open the CSV in a spreadsheet and work with the structured columns directly. Use Email Extractor only for deduplication if combining multiple exports
LinkedIn connection export
LinkedIn provides a CSV of your connections that includes email addresses for connections who have made their email visible to their connections.
Step
What to do
1. Request data download
LinkedIn > Settings > Data privacy > Get a copy of your data > select "Connections" > Request archive
2. Download the archive
LinkedIn sends an email when ready (usually within minutes). Download and extract the ZIP
3. Open Connections.csv
The CSV includes First Name, Last Name, Email Address, Company, Position, Connected On
4. Note on email availability
Not all connections share their email. The Email Address column may be blank for many connections. LinkedIn provides only email addresses that connections have made visible
5. If combining with other sources
Upload the Connections.csv to Email Extractor along with your other contact files to extract and deduplicate emails across all sources
Conference badge scan exports
Trade show badge scanners capture attendee data when their badge is scanned at your booth. The data format depends on the event's lead retrieval system.
Name, title, company, email, phone, address, booth visit time
Manual badge scan (smartphone app)
CSV, VCF
Varies; often name, email, company
Step
What to do
1. Export from lead retrieval system
Download CSV/XLSX from the badge scan platform after the event
2. If combining multiple events
Upload all badge scan exports to Email Extractor to extract and deduplicate emails across events. The same attendee may have been scanned at your booth at multiple events
3. If you need structured data
Work with the CSV columns directly. Each badge scan export includes timestamps and custom fields useful for follow-up
Email signature blocks
Email signatures contain contact data including email addresses, phone numbers and titles. If you have a folder of email messages (EML, MSG or TXT files), you can extract all email addresses from the message content including signatures.
Step
What to do
1. Collect the emails
Export messages from your email client as EML or MSG files, or save as TXT
2. Upload to Email Extractor
Upload the EML or MSG files to Email Extractor. It extracts all email addresses from the message content, headers and signature blocks
3. Note on EML/MSG parsing
Email Extractor reads the text content of EML and MSG files. It does not extract content from attachments within those messages. The extracted emails include sender, recipient and any email addresses in the message body or signature
Bulk Processing for Trade Shows and Conferences
After a major trade show, you may have contact data from multiple sources:
Source
Format
Typical data
Badge scan export
CSV
Attendees who visited your booth
Collected business cards (scanned)
VCF, CSV (from card scanner app)
Contacts from meetings, networking events, dinners
LinkedIn connections made at event
CSV (from LinkedIn export)
New connections from the event period
Event attendee list (if provided by organiser)
CSV, XLSX, PDF
All attendees who opted in to share contact information
Speaker and exhibitor directories
HTML, PDF
Published list of speakers, sponsors and exhibitors
Combining all sources
Upload all of these files to Email Extractor in a single batch. Email Extractor handles all these formats (CSV, VCF, XLSX, PDF, HTML, EML, MSG) and deduplicates across all sources. The same person who was scanned at your booth, gave you a business card, connected on LinkedIn and appeared on the attendee list will appear only once in your extracted list.
Post-extraction workflow
Step
What to do
1. Extract and deduplicate
Upload all source files to Email Extractor; download deduplicated email list
2. Download CSV with sources
Use the "CSV with sources" download option to see which file each email came from. This helps identify which contacts came from badge scans vs. business cards vs. other sources
3. Match back to structured data
If you need names and titles alongside emails, use the extracted email list to match against your badge scan CSV (which has structured columns) using VLOOKUP or INDEX-MATCH in a spreadsheet
4. Import to CRM
Import the deduplicated list into your CRM with appropriate source tagging
Format-Specific Limitations
Format
Limitation
Workaround
VCF
Email Extractor reads email fields only; names, phone numbers and addresses are not included in the extracted output
Use the card scanner app's CSV export if you need structured data alongside emails
PDF (scanned business cards as PDF images)
Email Extractor does not perform OCR on scanned images within PDFs. It extracts text-layer content only
Use a business card scanner app (CamCard, ABBYY) to OCR the cards first, then export to CSV or VCF and upload to Email Extractor
EML / MSG
Email Extractor reads message text content but not content from file attachments within the email
If contacts are in an attachment (a CSV attached to an email), save the attachment separately and upload it directly
