How to Extract Emails from Business Cards Using OCR

Convert the image to text first

Email Extractor does not directly read JPG or PNG business-card photos, and it does not include optical character recognition, or OCR. First use a suitable text-recognition tool to create selectable text. Then extract addresses from that text or a readable document.

This two-stage process matters because OCR can produce a convincing but incorrect address. Extraction recognizes text patterns; it cannot compare the result with the original photograph or decide what the card was meant to say.

Capture a clear card image

Use even lighting and photograph the card straight on. Check that the smallest characters are sharp. Capture the reverse side if it contains the address, and keep each original image available for review.

Avoid assuming that every card contains one email. Some publish several addresses, only a website or a contact QR code. A QR code is not readable email text unless another tool decodes it into text first.

Choose a text-recognition method

On supported Apple devices, Live Text can copy recognized text from a photo. Availability depends on the device, language and system version. Copy the relevant card text and check it against the image.

For a computer-based workflow, Tesseract is an open-source OCR engine. It is a separate application, not part of Email Extractor. Its documentation describes installation, language data and image-to-text processing. OCR accuracy depends on the input; no engine makes every decorative card reliable.

Other scanning tools may produce a searchable PDF, text file or contact export. Review their privacy settings before uploading card images to a cloud service. Choosing a cloud OCR provider sends the image through that provider, even though subsequent extraction here happens in your browser.

Extract the reviewed text

  1. Open Text and files.
  2. Paste the recognized text, upload a TXT file, or upload a PDF with a readable text layer.
  3. Click Extract emails.
  4. Compare each result with its original card before downloading.

Files may be up to 25 MB each, with 100 MB per batch. If a scanner exports VCF contacts, the VCF reader processes email fields. It does not collect addresses hidden in arbitrary contact notes.

Correct OCR errors using the original

Inspect similar characters such as 0 and O, 1 and l, or rn and m. Check punctuation and inserted spaces too. An incorrect domain can still look syntactically valid, so a successful extraction is not proof of accurate transcription.

Retain the person's name and meeting context separately; an email-only list does not preserve a complete business-card contact record. Receiving a card also does not automatically establish newsletter permission. Use the contact for the agreed purpose and respect later preferences.
