How to Extract Emails from Help Scout Contacts

Why Extract from Help Scout?
Help Scout is a customer support platform that provides a shared email inbox, live chat (Beacon), a knowledge base (Docs), customer profiles and reporting. It is designed for small to mid-size businesses that want a human-focused support experience without the complexity of enterprise help desk tools.
Help Scout stores customer profiles for everyone who has emailed your support address, chatted through Beacon or been added manually. Extracting email addresses from Help Scout data is useful for consolidating customer data, importing into a marketing platform, deduplicating against CRM data or creating a backup.
How to Export from Help Scout
Exporting customers
- Log in to Help Scout as an admin.
- Go to Customers.
- Use search or filters to narrow the list if needed.
- Export customers as a CSV file.
- The CSV includes email, name, company, phone, location, conversation count, created date and other fields.
Exporting from reports
Help Scout reports include data about conversations and customers. Some report exports include customer email addresses.
Using the API
Help Scout provides a REST API (Mailbox API) for programmatic access to customer and conversation data. API exports can be downloaded and processed like manual exports.
Data export request
Help Scout allows admins to request a full data export of all account data, including all customers and conversations.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file(s) exported from Help Scout. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Import into a marketing platform
Help Scout is a support tool, not a marketing platform. To send marketing emails to your customer base, import the extracted list into Mailchimp, ActiveCampaign, Kit or another email marketing platform. Ensure you have consent for marketing communications.
Consolidate with CRM data
If you use Help Scout alongside a CRM (HubSpot, Salesforce, Pipedrive), compare the extracted lists. Some customers may exist only in Help Scout (from support conversations) and not in your CRM.
Migration
If you are moving from Help Scout to Zendesk, Freshdesk or another support platform, the extracted email list helps plan the migration.
Verify addresses
Customer email addresses may include old or inactive addresses. Running the extracted list through a verification service ensures accuracy. See Best email verification services.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, companies, phone numbers, conversation history, tags and other fields from the Help Scout export are not carried over.
Shared inbox
Help Scout organises support around shared email inboxes (mailboxes). Each mailbox receives support emails at a dedicated address. Customer profiles are shared across all mailboxes.
Beacon
Beacon is Help Scout's website widget for live chat, knowledge base search and contact forms. Visitors who interact with Beacon and provide their email become customers in Help Scout.
Multiple email addresses
A customer profile in Help Scout can have multiple email addresses. The export may include all of them. Email Extractor captures all email addresses found.
Conversations
Help Scout stores conversation history (email threads, chat transcripts). Conversation data is separate from customer export data.
Tags and custom fields
Help Scout supports tags on conversations and custom fields on customer profiles. These are included in exports but not preserved by Email Extractor.
Integrations
Help Scout integrates with CRMs, ecommerce platforms, project management tools and other services. Customer data may already be synced to other tools through integrations.
