How to Extract Emails from Zendesk Contacts

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Zendesk?

Zendesk is a customer service and support platform that provides a help desk (ticketing system), live chat, a knowledge base, community forums, a call centre, messaging and AI-powered bots. It is used by companies of all sizes to manage customer support across email, chat, phone, social media and other channels.

Zendesk stores customer and end-user data for everyone who has submitted a support ticket, chatted with support, called in or been added to the system. Extracting email addresses from Zendesk data is useful for consolidating customer data, importing into a marketing platform, deduplicating against other tools, analysing customer reach or creating a backup.

How to Export from Zendesk

Exporting users

  1. Log in to Zendesk as an admin.
  2. Go to Manage then People (or Customers).
  3. Use the Export feature to download user data as a CSV file.
  4. The CSV includes email, name, organisation, role, tags, created date, last login and custom fields.

Exporting from views or reports

  1. In Zendesk Support, create a view that shows the tickets or customers you want.
  2. Export the view data as CSV.

Full data export

Zendesk admins can perform a full account export from Settings then Account then Data export. This provides a comprehensive CSV of all users.

Using Zendesk Explore

Zendesk Explore (analytics) can generate reports that include customer email addresses. Export report results as CSV.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file(s) exported from Zendesk. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Import into a marketing platform

Zendesk is a support tool, not a marketing tool. To send marketing emails or newsletters to your customer base, import the extracted list into a marketing platform (Mailchimp, ActiveCampaign, Kit). Ensure you have consent for marketing communications.

Consolidate with CRM data

If you use a CRM alongside Zendesk, compare the extracted lists. Some customers may exist in Zendesk (from support tickets) but not in your CRM, and vice versa.

Identify total customer base

If customer emails are spread across Zendesk, your CRM, your billing system and other tools, extracting from all and deduplicating gives you the count of unique matched email addresses.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Verify addresses

Support ticket email addresses may include typos or outdated addresses. Running the extracted list through a verification service before any outreach ensures accuracy. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, organisations, roles, ticket history, satisfaction ratings, tags and custom fields from the Zendesk export are not carried over.

End-users, agents and admins

Zendesk has different user types: end-users (customers), agents (support staff) and admins. The full export includes all types. If you want only customer emails, filter the export by role before uploading.

Organisations

Zendesk groups end-users into organisations (companies). Organisation data is included in exports but not preserved by Email Extractor.

Ticket data

Zendesk stores ticket history (conversations, attachments, status, tags). This data is separate from user exports. Ticket exports can also contain email addresses (requester, CC'd parties).

Multiple email addresses

A Zendesk user can have multiple email addresses (primary and secondary). The export may include all of them. Email Extractor captures all email addresses found.

Zendesk Suite products

Zendesk Suite includes Support (ticketing), Chat (live chat), Talk (phone), Guide (knowledge base), Explore (analytics) and Sell (CRM). Each product may store customer data. Zendesk Sell contacts are separate from Zendesk Support users.

Zendesk Sell

Zendesk Sell is the CRM component. If you use Zendesk Sell, contacts there may overlap with Zendesk Support users. Export from both and deduplicate.
