How to Extract Email Addresses from a Notion Export
On this page
Export the content you are allowed to process
Notion pages and databases can contain contact addresses, but an export is not a complete copy of everything in a workspace. Permissions, settings and export choices affect which content is included. Email Extractor reads the files you provide; it does not connect to Notion or retrieve missing pages.
Choose the smallest relevant set of pages or records. A contact migration usually does not need unrelated meeting notes, confidential briefs or every attachment in the workspace.
Choose Markdown and CSV
Follow Notion's current export instructions. For an individual page, open its three-dot menu, choose Export, and select Markdown & CSV. Include subpages only when they are needed and permitted.
For a workspace export, locate Settings, then Workspace → General → Export all workspace content, if that option is available to you. Notion provides a download when preparation finishes. An export excludes pages the exporter cannot access, and other workspace settings can limit its content.
Markdown holds exported page text. Database exports can include CSV files and separate page files. Check the actual files rather than assuming every view, relation or embedded block has become a complete flat table.
Unzip and select readable files
Extract the downloaded ZIP on your computer. Email Extractor does not directly read a Notion ZIP or reconstruct a workspace from its folder structure.
Open Text and files, select the relevant .md and .csv files, then click Extract emails. Both formats are supported. Keep each file below 25 MB and each batch below 100 MB. Select supported files from the needed folders; do not assume that uploading a folder automatically includes all nested content.
Markdown is scanned as text, including formatting marks. For example, asterisks directly before an address can be included in a match. Compare such results with the original page; do not blindly remove punctuation, since some characters are valid parts of an address. Copying the rendered email field as plain text can provide a clearer input.
The reader scans available text. It does not follow relations to fetch additional records, open embedded applications or read images as text. Process an attachment separately only if you have access and it uses a supported format.
Review addresses against their context
A database email field, a quoted message and a meeting-note reference can all produce matches. The extractor does not distinguish an active customer from an old mention or notification contact.
Use CSV + sources to retain file references, and keep the original Notion export when you need names, record relationships or other fields. An email-only export does not preserve a complete contact database.
Combine batches deliberately
Download each result before starting another extraction. For a final address-only merge, use TXT exports and retain the source-bearing exports separately. Review communication preferences in the original records; workspace access does not establish newsletter permission.
For pages you cannot export, the optional extension can read accessible loaded content when requested. It cannot guarantee unloaded database rows or content in restricted embedded pages.
