How to Extract Emails from Notion Workspace Members
On this page
Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.
Why Extract from Notion Workspace Members?
Notion is a workspace platform that combines notes, documents, databases, wikis, project management and collaboration. Notion workspaces have members (team members, guests and external collaborators) who are identified by their email addresses. These email addresses are used for access control, notifications and collaboration.
Extracting email addresses from Notion workspace member data is useful for auditing who has access to your workspace, building team contact lists, migrating to another platform, onboarding planning or creating a backup.
How to Export from Notion
Viewing workspace members
- Log in to Notion.
- Go to Settings & members (click the gear icon).
- Click Members.
- View the list of workspace members, guests and groups.
- The member list shows names and email addresses.
Exporting the member list
Notion does not provide a built-in CSV export for workspace members. To extract member emails:
Option A: Copy from the settings page
- Go to Settings & members then Members.
- Select and copy the member list (names and emails) from the page.
- Paste into a text file and save as TXT.
Option B: Use the API
- Use the Notion API to list workspace users.
- The API returns user objects with email addresses.
- Save the output as a JSON or CSV file.
Option C: Export from a database
- If you maintain a team directory database in Notion with email fields, export that database as CSV.
- Go to the database, click the three-dot menu, and select Export then Markdown & CSV.
Exporting database contacts
For extracting emails from Notion databases (contact lists, CRMs built in Notion, etc.), see Extract Emails from Notion Databases.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the text, CSV or JSON file containing Notion member data. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Audit workspace access
Review who has access to your Notion workspace. Compare the extracted list against your expected team roster to identify unauthorized access or forgotten guest accounts.
Build a team directory
Use the extracted list as a starting point for a team directory or distribution list.
Migrate to another platform
If moving from Notion to another collaboration tool, extract member emails to invite them to the new platform.
Clean up guest access
Identify guest members whose access should be revoked.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, roles (admin, member, guest), groups and other member data are not carried over.
Members vs guests
Notion distinguishes between full members (who have broad workspace access) and guests (who have access to specific pages only). Both have email addresses.
Workspace plans
Member management features vary by Notion plan (Free, Plus, Business, Enterprise). Enterprise plans offer more detailed member management and may provide better export options.
Notion databases
This guide covers workspace members (people with access to the workspace). For extracting emails stored in Notion databases (contact lists, CRM databases, etc.), see Extract Emails from Notion Databases.
Notion export
The general Notion export (Settings then Export all workspace content) exports pages and databases as Markdown and CSV files. It does not export a member list, but any email addresses in page content or databases will be included in the exported files.
