How to Extract Emails from Notion Databases

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Notion Databases?

Notion is a workspace platform that combines notes, documents, wikis, project management and databases. Many teams use Notion databases as lightweight CRMs, contact directories, applicant trackers, vendor lists or customer registries. These databases often contain email addresses stored in email-type properties, text properties or within page content.

Extracting email addresses from Notion databases is useful for importing into a dedicated email marketing platform or CRM, consolidating contacts stored across multiple Notion workspaces, building outreach lists from internal records or creating a backup.

How to Export from Notion

Exporting a single database

  1. Open the database in Notion.
  2. Click the three-dot menu (...) at the top right of the database.
  3. Select Export.
  4. Choose Markdown & CSV as the format.
  5. Click Export.
  6. Notion downloads a ZIP file containing a CSV of the database and any linked pages as Markdown files.

Exporting an entire workspace

  1. Go to Settings & Members then Settings.
  2. Scroll to Export all workspace content.
  3. Choose Markdown & CSV.
  4. Click Export.
  5. Notion sends a download link by email. The ZIP contains CSV files for each database and Markdown files for pages.

Filtering before export

Apply filters and sorts to the database view before exporting. Notion exports the current view, so filtering by a "Type" or "Status" column lets you export only the contacts you need.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from the Notion export. If the export contains multiple CSVs in a ZIP, unzip first and upload the relevant CSV. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Extracting from Markdown pages

If email addresses are stored within Notion page content rather than database properties, upload the exported Markdown (.md) files instead of or alongside the CSV. Email Extractor supports MD files and will find email addresses within the text.

Working with the Results

Import into a CRM or email platform

Notion databases are flexible but lack CRM and email marketing features. Import the extracted list into HubSpot, Mailchimp, ActiveCampaign or another purpose-built platform for outreach and campaigns.

Consolidate multiple databases

Teams often have contacts spread across several Notion databases (a sales pipeline, an event attendees database, a partners database). Upload all exported CSVs together. Deduplication shows your total unique email addresses.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Verify addresses

Contact data in Notion is manually entered and may contain typos or outdated addresses. Verification before outreach is recommended. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, tags, statuses, dates and other database properties from the Notion export are not carried over.

Email property type

Notion databases have a dedicated Email property type that validates email format. If the database uses this property type, the exported CSV column will contain clean email addresses.

Text and rich text properties

Some databases store email addresses in plain text or rich text properties instead of the email property type. These are still included in the CSV export and will be found by Email Extractor.

Page content

Email addresses mentioned in the body of Notion pages (rather than in database properties) appear in the Markdown export, not in the CSV. Upload the MD files to extract those.

Linked databases

Notion linked databases (database views that reference another database) export the same underlying data. You do not need to export both the original and linked views.

Relations and rollups

If a database uses a Relation property that links to another database containing emails, those linked emails may not appear in the current database's CSV export. Export the related database separately.

ZIP format

Notion exports as ZIP files. Email Extractor does not process ZIP files directly. Unzip the archive first, then upload the CSV or MD files inside.

Workspace exports can be large

Full workspace exports may contain many files. Locate and upload only the CSV files from databases that contain email addresses.
