Best No-Code Database Tools for Managing Email Lists

Why Use a Database Tool for Email Lists?

Dedicated email marketing platforms (Mailchimp, ActiveCampaign, Klaviyo) are designed for sending campaigns. No-code database and spreadsheet tools serve a different purpose: organising, cleaning, enriching and analysing contact data before and alongside email marketing. Many teams use a database tool as a contact hub, CRM alternative, or data preparation layer.

These tools are useful for managing email lists when you need flexible data structures, custom views, relational data, shared collaboration, form-based data collection, or a central contact database that feeds multiple downstream tools.

Airtable

Airtable is a spreadsheet-database hybrid with rich field types, linked records, views (grid, kanban, gallery, calendar), automations and a large app marketplace. It is widely used as a lightweight CRM, project tracker and contact database.

Email extraction: Export a table or view as CSV, then upload to Email Extractor. See Extract emails from an Airtable export.

Google Sheets

Google Sheets is the most accessible spreadsheet tool, free with a Google account. It supports collaboration, add-ons, Apps Script and integration with Google Forms.

Email extraction: Download as CSV, then upload to Email Extractor. See Extract emails from Google Sheets.

Notion

Notion is an all-in-one workspace with databases, documents, wikis and projects. Its databases support filtered views, relations, rollups and templates.

Email extraction: Export database data as CSV or Markdown. Upload to Email Extractor. See Extract emails from a Notion export.

Smartsheet

Smartsheet combines spreadsheet functionality with project management features. It supports automations, forms, dashboards and reports.

Email extraction: Export as CSV or Excel. Upload to Email Extractor. See Extract emails from a Smartsheet export.

Coda

Coda is a document-database hybrid with tables, formulas, automations and integrations. Tables in Coda can serve as contact databases with custom views and actions.

Email extraction: Export table data as CSV. Upload to Email Extractor. See Extract emails from a Coda export.

Baserow

Baserow is an open-source, self-hostable no-code database platform. It provides a spreadsheet-like interface for building databases with field types, views, forms and an API.

Email extraction: Export a table as CSV. Upload to Email Extractor. See Extract emails from a Baserow export.

NocoDB

NocoDB is an open-source platform that turns any SQL database into a smart spreadsheet interface. It can be self-hosted and supports views, forms, automations and API access.

Email extraction: Export a table as CSV. Upload to Email Extractor. See Extract emails from a NocoDB export.

SeaTable

SeaTable is a collaborative database platform with rich column types, forms, automations, plugins and the option to self-host. It supports large datasets and advanced data types.

Email extraction: Export a table as CSV or Excel. Upload to Email Extractor. See Extract emails from a SeaTable export.

Grist

Grist is an open-source spreadsheet-database with Python formulas, access control, forms and a self-host option. Its relational structure makes it suitable for contact databases.

Email extraction: Export a table as CSV or the full document as Excel. Upload to Email Extractor. See Extract emails from a Grist export.

How to Extract from Any Database Tool

The process is the same for all these tools:

  1. Export the table, sheet or database view as CSV, Excel or TSV.
  2. Go to bulkemailextractor.com.
  3. Select "Text and files."
  4. Upload the file (or multiple files from different tools). Up to 25 MB per file, 100 MB per batch.
  5. Click "Extract emails."
  6. Review the results. Duplicates across all uploaded files are removed automatically.
  7. Download as TXT, CSV, or CSV with sources.

When to Use a Database Tool vs a CRM

Use a database tool when:

  • You need flexible, customisable data structures.
  • You want to manage contacts alongside other data (projects, inventory, events).
  • You want an affordable or free contact management solution.
  • You need to consolidate data from multiple sources before importing into a CRM or email platform.
  • You prefer self-hosted or open-source solutions.

Use a dedicated CRM when:

  • You need pipeline management, deal tracking and sales forecasting.
  • You need built-in email sending, tracking and logging.
  • You need contact enrichment and lead scoring.
  • Your team is sales-focused and needs CRM-specific workflows.

Many teams use both: a database tool as a data preparation and consolidation layer, and a CRM for active sales and relationship management. Extraction helps move data between them.

Consolidating Contacts Across Tools

If your team uses multiple database tools (Airtable for marketing contacts, Google Sheets for event attendees, Notion for project collaborators), export from each and upload all files to Email Extractor at once. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.
