How to Extract Emails from Salesforce Leads

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Salesforce Leads?

Salesforce Leads are unconverted prospects in the early stages of the sales pipeline. Lead records include email addresses, company, title, source, status, rating and custom fields.

While the general Salesforce export is covered in Extract Emails from Salesforce Export, this article focuses on lead-specific exports, which target pre-opportunity contacts.

How to Export from Salesforce

Exporting leads

  1. Log in to Salesforce.
  2. Go to the Leads tab.
  3. Select a list view (e.
  4. Click the gear icon then Export to download as CSV.

Creating filtered views

  1. Go to the Leads tab.
  2. Click New (list view).
  3. Add filter criteria (lead status, source, rating, owner, created date, campaign).
  4. Save the view.
  5. Export as CSV.

Using Salesforce reports

  1. Go to Reports.
  2. Create a Leads report.
  3. Add filters (status, source, date range, owner).
  4. Include the Email field.
  5. Export as CSV.

Using Data Loader

  1. Open Salesforce Data Loader.
  2. Click Export.
  3. Select the Lead object.
  4. Write a SOQL query with filter conditions.
  5. Export as CSV.

Using the Salesforce API

  1. Use the SOQL query endpoint.
  2. Query: SELECT Email FROM Lead WHERE Status = 'Open' AND Email != null.
  3. Save results as CSV or JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from Salesforce. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, titles, sources, statuses and other Salesforce fields are not carried over.

Leads vs. contacts

Salesforce keeps Leads separate from Contacts until conversion. A lead becomes a contact when qualified and converted. For contacts, see Extract Emails from Salesforce Export.

Report row limits

Salesforce reports have row limits. Use Data Loader for larger exports.
