How to Extract Emails from Salesforce Reports

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Salesforce Reports?

Salesforce is the most widely used CRM platform. Its reporting engine lets users build custom reports across contacts, leads, accounts, opportunities, cases and custom objects. Reports can filter, group and summarize data in ways that standard list views and exports cannot.

Extracting email addresses from Salesforce reports is useful when you need a targeted list based on complex criteria that goes beyond simple contact or lead exports. For example, contacts associated with closed-won opportunities in Q3, leads from a specific campaign who have not converted, or account contacts in a particular industry and region.

How to Export from Salesforce Reports

Exporting an existing report

  1. Log in to Salesforce.
  2. Go to the Reports tab.
  3. Open the report you want to export.
  4. Click Export (or the dropdown arrow next to Run Report, then Export).
  5. Choose Details Only or Formatted Report depending on your needs.
  6. Select CSV or XLSX format.
  7. Click Export.

Creating a report for export

  1. Go to Reports then click New Report.
  2. Select the report type (e.
  3. Add filters:
    • Date range (e.
    • Record type, status, stage or other criteria.

  4. Add the Email column to the report.
  5. Run the report and review results.
  6. Export as CSV.

Common report types for email extraction

  • Contacts & Accounts: All contacts with account details. Filter by industry, account type, region or owner.
  • Leads: Filter by lead source, status, campaign or creation date.
  • Opportunities with Contact Roles: Contacts associated with opportunities. Filter by stage, amount or close date.
  • Cases with Contact Info: Support cases with contact details. Filter by case type, status or date.
  • Campaign Members: Contacts or leads in specific campaigns. Filter by campaign, status or response date.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or XLSX file from Salesforce. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Import the extracted list into Mailchimp, ActiveCampaign, Klaviyo or another platform for campaign execution.

Compare across reports

Export multiple reports and upload together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Check the original report records to interpret segment membership; address overlap alone does not match opportunities or establish campaign engagement.

Verify addresses

Salesforce data quality varies. Long-standing records may have outdated email addresses. Verify the list before sending campaigns. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, accounts, opportunities, stages, amounts and other Salesforce fields are not carried over.

Report row limits

Salesforce reports have row limits for exports (typically 2,000 rows for detail exports in some editions, higher in others). For large datasets, use Data Loader or Data Export instead.

Multiple email fields

Salesforce contacts and leads can have multiple email fields (Email, Other Email, custom fields). Make sure the report includes all relevant email columns. Email Extractor scans all text content in the file.

Formatted vs. details export

Choose "Details Only" for cleaner data. "Formatted Report" includes grouping headers and subtotals that add non-data rows.
