How to Extract Emails from Salesforce Dashboards

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Salesforce Dashboards?

Salesforce dashboards display visual summaries of report data across contacts, leads, opportunities, cases and custom objects. Each dashboard component is backed by a report, and those reports can be exported with contact-level detail including email addresses.

While general Salesforce exports are covered in Extract Emails from Salesforce Export and report exports in Extract Emails from Salesforce Reports, this article focuses on getting email data from dashboard-specific reports.

How to Export from Salesforce

Exporting the underlying report

  1. Log in to Salesforce.
  2. Go to Dashboards and open the dashboard.
  3. Click on a dashboard component (chart, table or metric).
  4. Click View Report to open the underlying report.
  5. In the report, click Export then choose CSV or XLSX.
  6. Make sure the report includes a column for email address.

Editing report columns

  1. Open the underlying report.
  2. Click Edit.
  3. Add the Email field if it is not already included.
  4. Save and run the report.
  5. Export as CSV.

Exporting from Data Loader

  1. Use Salesforce Data Loader.
  2. Run a SOQL query matching the dashboard's report filters.
  3. Include the Email field.
  4. Export as CSV.

Using the Salesforce API

  1. Use the Analytics API to retrieve report data.
  2. Use the /services/data/v59.0/analytics/reports/{reportId} endpoint.
  3. Parse the response for email fields.
  4. Save results as JSON or CSV.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or XLSX file from Salesforce. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, accounts, opportunity amounts, stages and other Salesforce fields are not carried over.

Dashboard vs. report

Dashboards summarize data visually. To get individual email addresses, you need to export the underlying report, not the dashboard itself.

Report row limits

Salesforce reports have row limits for exports (up to 2,000 for tabular reports in Lightning). Use Data Loader for larger exports.
