Zapier vs Make vs n8n for Email Marketing Automation: Pricing, Features, Integrations, Ease of Use and Best Fit by Team Size

On this page

What These Platforms Do

Zapier, Make and n8n are workflow automation platforms that connect different software tools and trigger actions between them without writing code. For email marketing, they sit between your lead sources (forms, landing pages, CRMs, spreadsheets, social media ads) and your email platforms (Mailchimp, ActiveCampaign, HubSpot, ConvertKit, Brevo) to automate the movement of data and the triggering of workflows.

Without an automation platform, a typical lead capture workflow looks like this: someone fills out a form on your website; you manually export the submissions from your form builder; you manually import them into your email platform; you manually tag or segment them; you manually enrol them in the correct drip sequence. With an automation platform, the entire chain happens instantly and without human intervention.

Platform Overview

Feature Zapier Make (formerly Integromat) n8n
Founded 2011 2012 (as Integromat; rebranded to Make in 2022) 2019
Pricing model Per-task (each action in a workflow counts as a task); free plan: 100 tasks/month; Starter: $19.99/month for 750 tasks; Professional: $49/month for 2,000 tasks; Team: $69/month per user for 2,000 tasks; Enterprise: custom Per-operation (each action counts as an operation); free plan: 1,000 operations/month; Core: $9/month for 10,000 operations; Pro: $16/month for 10,000 operations with priority execution; Teams: $29/month for 10,000 operations with team features; Enterprise: custom Self-hosted: free and open-source (you host it on your own server; no per-task limits); n8n Cloud: starts at $20/month for 2,500 executions; Pro: $50/month; Enterprise: custom
Number of integrations 7,000+ app integrations (largest library of any automation platform) 1,800+ app integrations 400+ built-in integrations + HTTP/webhook nodes for connecting to any API
Workflow builder Linear (step 1 triggers step 2 triggers step 3); paths allow conditional branching; straightforward for simple automations Visual canvas with branching, looping, error handling, and parallel paths; more complex workflows are easier to build; the visual approach shows data flow clearly Visual canvas similar to Make; node-based; supports branching, looping, merging, sub-workflows; the most flexible of the three for complex logic
Learning curve Lowest: designed for non-technical users; most automations can be built in minutes Medium: the visual canvas is intuitive but more complex features (iterators, aggregators, routers) take time to learn Highest: the self-hosted version requires server setup and maintenance; the workflow builder is powerful but more technical than Zapier
Best for Non-technical users and small teams who want simple, reliable automations with minimal setup; teams that need the widest possible range of app integrations Marketing teams and operations teams who build multi-step workflows with conditional logic, data transformation, and error handling; teams who want more power than Zapier at a lower cost per operation Technical teams, developers, and companies that want full control over their automation infrastructure; teams with high volume (self-hosted has no per-task fees); privacy-conscious organisations that want data to stay on their own servers

Email Marketing Automation Use Cases

Use case What it does Zapier approach Make approach n8n approach
Form submission to email platform When someone fills out a form (Typeform, Google Forms, Tally, JotForm, Gravity Forms), automatically add them to your email platform with the correct tags and segments Single-step Zap: Typeform new entry triggers Mailchimp add subscriber; add tags based on form field values; simple and fast to set up Scenario with a form trigger module, a router to branch by form field values (e.g., different lead magnets get different tags), and email platform modules for each branch; more flexible segmentation Workflow with form webhook trigger, IF nodes for conditional routing, and email platform nodes; can include data transformation and validation steps
Lead capture to CRM + email platform simultaneously When a new lead comes in, add them to both your CRM (Salesforce, HubSpot, Pipedrive) and your email platform (Mailchimp, ActiveCampaign) at the same time Multi-step Zap with parallel paths: trigger creates both a CRM contact and an email subscriber in parallel Scenario with a single trigger and two parallel branches: one to CRM, one to email platform; can include duplicate checking in both systems before creating records Workflow with webhook trigger and two parallel node chains; can include custom duplicate checking logic, data enrichment, and error handling
Email verification before list addition When a new contact enters your system, verify the email address before adding them to your email list; invalid emails are flagged or excluded Zap with a verification step: trigger (new form submission) sends email to a verification API (ZeroBounce, NeverBounce, Kickbox via their Zapier integrations); filter step checks the result; if valid, add to email platform; if invalid, log to a spreadsheet for review Scenario with verification API HTTP module, router based on verification result, valid path adds to email platform, invalid path logs to Google Sheets or sends a Slack notification Workflow with HTTP Request node calling verification API, IF node checking result, valid path to email platform, invalid path to logging; self-hosted version keeps all data on your server (no third-party data sharing beyond the verification API itself)
Abandoned cart email trigger When a customer abandons their shopping cart (Shopify, WooCommerce), trigger an email sequence after a delay Zap with a delay step: Shopify abandoned cart triggers a delay (1 hour), then sends a personalised email via the email platform or directly via a transactional email service (SendGrid, Postmark) Scenario with Shopify webhook, delay module, check if the cart was completed during the delay (HTTP module to Shopify API), if still abandoned: send email sequence Workflow with Shopify webhook, Wait node, HTTP Request to check cart status, IF node, email send node; the Wait node makes n8n well-suited for delayed actions
Webinar registration to email sequence When someone registers for a webinar (Zoom, GoToWebinar, Demio, Livestorm), add them to a pre-webinar email sequence and a post-webinar follow-up sequence Multi-step Zap: webinar registration triggers add to email platform with "webinar-registered" tag; a separate Zap triggers after the webinar date to add a "webinar-attended" or "webinar-missed" tag based on attendance data Scenario with webinar platform trigger, email platform module to add subscriber and tag, scheduled scenario to check attendance after the event and update tags accordingly Workflow with webinar webhook, email platform node, Cron node to trigger attendance check after event, HTTP Request to webinar API for attendance data, IF node to tag attendees vs. non-attendees
Lead scoring and routing Assign a score to leads based on their actions (page visits, email opens, form submissions, content downloads) and route high-scoring leads to the sales team Multi-step Zap with scoring logic: each trigger (form submission, page visit via a tracking pixel) updates a score field in the CRM; a separate Zap monitors the score field and sends a Slack notification or creates a task when the score exceeds a threshold Scenario with multiple triggers feeding into a scoring module (using Make's data store to track scores across events); router sends high-scoring leads to Slack/CRM/email; Make's ability to aggregate data across multiple runs makes it better suited for scoring than Zapier Workflow with multiple webhook triggers, Function node with custom scoring logic, database node to store/retrieve scores, IF node to route high-scoring leads; n8n's Function node allows any JavaScript logic for scoring

Pricing Comparison for Common Email Marketing Volumes

Monthly automation volume Zapier cost Make cost n8n Cloud cost n8n self-hosted cost
500 tasks/operations/month (a small business with a few automations running) Free plan covers this (100 tasks free; Starter at $19.99/month for 750) Free plan covers this (1,000 operations free) Starter plan at $20/month (2,500 executions) Free (hosting costs only: $5-$20/month for a small VPS from DigitalOcean, Hetzner, or similar)
5,000 tasks/operations/month (a growing business with several active automations) Professional plan: $49/month (2,000 tasks included; overages at $0.01-$0.025/task; likely $75-$125/month total) Core plan: $9/month for 10,000 operations (well within the included amount) Pro plan: $50/month (includes more executions and features) Free (same hosting costs; no per-task fees regardless of volume)
25,000 tasks/operations/month (a mid-size company with high-volume automations) Team or Enterprise plan: $300-$600+/month (Zapier becomes expensive at high volumes because of per-task pricing) Core plan: $9/month + additional operations at $3.50 per 10,000; approximately $17/month total Enterprise plan: custom pricing; likely $100-$200/month Free (may need a larger server: $20-$50/month for a VPS with more CPU and memory)
100,000+ tasks/operations/month (an enterprise or high-volume e-commerce operation) Enterprise plan: $1,000+/month (custom pricing; Zapier's per-task model makes high volumes very expensive) Pro plan with additional operations: approximately $50-$100/month (Make's per-operation pricing is significantly lower than Zapier at scale) Enterprise: custom Free (hosting costs of $50-$100/month for a dedicated server or larger VPS; still dramatically cheaper than any cloud platform at this volume)

Preparing Your Data

Before setting up email marketing automations, consolidate your existing contact data. Export contact lists from your CRM (CSV), email platform (CSV), form builder submissions (CSV), e-commerce platform (CSV) and any other system that stores contacts. Upload all files to Email Extractor to extract and deduplicate email addresses across all systems. The deduplicated list reveals contacts that exist in one system but not another -- a common issue that automation platforms solve going forward but cannot fix retroactively for existing data.

Which Platform to Choose

If you are... Choose Why
A solo marketer or small team with simple automations (form to email, CRM sync, basic notifications) Zapier Fastest setup; largest app library; most documentation and tutorials; "it just works" for simple use cases
A marketing or operations team building multi-step workflows with conditional logic, data transformation, or high volume Make More powerful workflow builder than Zapier; dramatically cheaper at scale (10-50x less expensive at high volumes); visual canvas makes complex workflows manageable
A technical team, a developer, or a company that wants no per-task fees, full data control, or custom logic n8n Self-hosted option eliminates per-task costs entirely; open-source; full control over data (nothing leaves your server except API calls to connected services); Function nodes allow any JavaScript logic
