Zoho CRM vs HubSpot CRM vs Pipedrive: Comparing Contact Management, Sales Pipelines, Email Integration, Automation, Reporting and Pricing for Small Businesses, Startups and Growing Sales Teams

On this page

Platform Overview

Zoho CRM, HubSpot CRM and Pipedrive are three of the most popular CRM platforms for small to mid-size businesses, but they approach CRM from different angles. Zoho is a feature-rich, affordable platform from a large software ecosystem (Zoho has 55+ business apps). HubSpot starts free with a generous feature set but scales to enterprise pricing as you add capabilities. Pipedrive is a sales-focused CRM built around pipeline management with a deliberately simple interface:

Factor Zoho CRM HubSpot CRM Pipedrive
Founded 2005 (Zoho Corporation founded 1996) 2006 (CRM launched 2014) 2010
Primary strength Comprehensive features at a low price; part of a larger business suite (Zoho One includes 45+ apps for $45/user/month) Free tier with genuine functionality; strong marketing integration (HubSpot started as a marketing platform); excellent content and community Pipeline-centric design; visual sales pipeline management; simplicity and ease of use for sales teams that want to focus on deals, not administration
Primary weakness Interface can feel dated and cluttered; customer support quality varies; customisation options are powerful but complex; learning curve is steeper than Pipedrive Pricing increases dramatically beyond the free tier; per-seat pricing on paid plans is expensive; some features feel intentionally limited on the free plan to drive upgrades Limited beyond sales CRM; no built-in marketing automation (add-on available); no customer support/ticketing module; not suitable for non-sales use cases
Best for Small businesses that want maximum features for minimum cost; companies that value having one vendor for CRM, email, invoicing, project management, HR and more (the Zoho ecosystem) Startups and small businesses that want a free CRM to start with and plan to grow into marketing automation; companies that value ease of use and strong onboarding resources Sales teams that want a focused, visual pipeline tool; small businesses where the primary CRM use case is tracking deals from lead to close; teams that value simplicity over feature depth

Contact Import and List Cleaning

Before importing contacts into any CRM, cleaning and deduplicating the contact data prevents problems that are difficult to fix after import. CRM databases accumulate contacts from multiple sources: business card scans, website form submissions, email marketing list uploads, trade show lead scans, spreadsheet imports from legacy systems and manual entry. These sources often contain duplicate, outdated or malformed email addresses.

Upload all contact files (CSV exports from other CRMs, spreadsheets, text files, VCF contact exports) to Email Extractor before importing to your CRM. Email Extractor deduplicates email addresses across all uploaded files, so contacts that appear in multiple source files are reduced to a single entry. This prevents the most common CRM data quality issue: multiple records for the same person with slightly different information.

CRM import issue Consequence Prevention with pre-import cleaning
Duplicate contacts Multiple records for the same person; confusion about which record is current; inflated contact counts; duplicate outreach (same person receives the same email twice) Deduplicate by email address before import; Email Extractor's source-tagged CSV shows which source file each address came from, helping reconcile differing information for the same contact
Invalid email addresses Bounced emails damage sender reputation; email tracking metrics are inaccurate; sales reps waste time on unreachable contacts Verify extracted email list through a verification service before importing to the CRM
Malformed data Names in wrong fields; multiple contacts in one row; phone numbers in email fields; extra characters in email addresses Upload raw data files to Email Extractor first; it extracts only valid email patterns, filtering out malformed data

Migration Between CRMs

Migration path Export from source Import to target Email Extractor role
Zoho CRM to HubSpot Zoho: Setup > Data Administration > Export; exports all modules as CSV HubSpot: Contacts > Import; CSV upload with field mapping Upload Zoho CSV exports to Email Extractor to deduplicate contacts before importing to HubSpot; Zoho databases often have more duplicates than expected due to web form submissions creating new contacts without dedup
HubSpot to Pipedrive HubSpot: Contacts > Actions > Export; CSV with selected properties Pipedrive: Settings > Import data; CSV with field mapping; Pipedrive also has a dedicated HubSpot migration tool Upload HubSpot CSV to Email Extractor; HubSpot's free tier does not deduplicate on import, so the export may contain duplicates
Pipedrive to Zoho CRM Pipedrive: Settings > Export data; CSV for contacts, deals, activities Zoho: Setup > Data Administration > Import; CSV with field mapping Upload Pipedrive CSV to Email Extractor for deduplication; Pipedrive's flat contact structure may create apparent duplicates when mapped to Zoho's contacts/accounts structure
Spreadsheet/legacy system to any CRM Export from legacy system as CSV, XLSX or TXT Import to chosen CRM Upload all legacy files to Email Extractor to extract email addresses, remove duplicates and create a clean import file; this is especially valuable when migrating from spreadsheet-based "CRMs" where data quality is typically lowest
