Your CRM is where your contacts live. How well it handles email determines how effectively you can import lists, segment contacts, personalise outreach, track engagement and maintain clean data.
Every CRM handles email differently. Some have built-in email marketing. Some integrate with external email platforms. Some are built for sales outreach. Others focus on marketing automation. Choosing the right CRM for your email workflow saves hours of workarounds and integration headaches.

This comparison covers four CRMs commonly used for email list management and outreach:

- Salesforce (enterprise, highly customisable).
- Pipedrive (sales-focused, mid-market).
- Zoho CRM (affordable, feature-rich).
Contact Import
HubSpot
- CSV/XLSX import: Yes. Built-in import tool with field mapping, deduplication and error reporting.
- Deduplication on import: Automatic. Matches by email address.
- Import limits: Free tier allows up to 1,000,000 contacts (with marketing email limits). Paid tiers scale further.
- API import: Yes. Contacts API supports batch creation and updates.
- Notes: HubSpot's import tool is user-friendly. It highlights mapping issues and lets you create new properties during import. Deduplication is automatic but only matches on email address (not name or company).
Salesforce
- CSV import: Yes. Data Import Wizard for up to 50,000 records. Data Loader for larger volumes.
- Deduplication on import: Manual or via third-party tools. Salesforce does not deduplicate automatically on import.
- Import limits: No hard contact limits. Storage limits apply (data storage per licence).
- API import: Yes. Bulk API for large imports (up to 10,000 records per batch).
- Notes: Salesforce import is powerful but more complex. The Data Import Wizard requires careful field mapping. For ongoing imports, the API or a tool like Dataloader.io is more practical. Deduplication requires custom matching rules or a third-party app from AppExchange.
Pipedrive
- CSV/XLSX import: Yes. Import tool with field mapping and duplicate detection.
- Deduplication on import: Yes. Detects duplicates by email, name or phone and lets you choose to merge, skip or create new.
- Import limits: No contact limits on any plan.
- API import: Yes. REST API supports individual and batch operations.
- Notes: Pipedrive's import is straightforward for sales teams. The duplicate detection during import is helpful. Field mapping is simpler than Salesforce but less flexible than HubSpot.
Zoho CRM
- CSV/XLSX import: Yes. Import tool with field mapping, duplicate handling and workflow triggers.
- Deduplication on import: Yes. Configurable duplicate check by email, phone or other fields.
- Import limits: 10,000 records per import (Professional plan). Higher limits on Enterprise.
- API import: Yes. REST API with batch insert support.
- Notes: Zoho's import tool is solid. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources. The 10,000-record-per-import limit on lower plans can be a bottleneck for large list imports.

HubSpot

- Built-in sales email: Yes. Email tracking, templates, sequences.
- Email sending limits: Free: 2,000/month. Paid plans scale up to hundreds of thousands.
- Third-party integration: Gmail, Outlook, Mailchimp, and hundreds of others.
- Notes: HubSpot's biggest strength is having both marketing email and sales email in one platform. Marketing creates campaigns; sales creates sequences. Both use the same contact database.
Salesforce
- Built-in email marketing: Limited. Salesforce core has basic email templates and mass email (up to 5,000/day). Full email marketing requires Marketing Cloud (separate, expensive product).
- Built-in sales email: Yes. Email templates, tracking via Salesforce Inbox.
- Email sending limits: 5,000 mass emails per day per org (standard).
- Third-party integration: Pardot/Marketing Cloud (Salesforce's own), Mailchimp, HubSpot, ActiveCampaign, and many others.
- Notes: Salesforce is not a standalone email marketing platform. For serious email marketing, you need Marketing Cloud (enterprise pricing) or a third-party integration. For sales email sequences, tools like Outreach, SalesLoft or Apollo.io are commonly used alongside Salesforce.
Pipedrive
- Built-in email marketing: Yes (Campaigns add-on). Basic email builder and templates.
- Built-in sales email: Yes. Email sync, templates, tracking, automation.
- Email sending limits: Campaigns: varies by plan. Sales email: synced through Gmail/Outlook (their limits apply).
- Third-party integration: Mailchimp, ActiveCampaign, Lemlist, and others.
- Notes: Pipedrive is sales-first. Its Campaigns add-on provides basic email marketing, but teams with significant marketing email needs typically integrate a dedicated platform. Sales email (individual outreach, tracking, templates) is strong.
Zoho CRM

- Built-in sales email: Yes. Email integration, templates, scheduling.

- Notes: Zoho's strength is the ecosystem. Zoho Campaigns integrates natively with Zoho CRM, providing a unified experience similar to HubSpot but at a lower price point. However, the individual tools are less polished than HubSpot's.

Best Fit by Company Type
Startup or small team (1-10 people)
Best fit: HubSpot (free tier) or Zoho.
HubSpot's free CRM provides contact management, email tracking and basic automation. It grows with you. Zoho offers more features per dollar at the entry level.
Growing sales team (10-50 people)
Best fit: Pipedrive or HubSpot.
Pipedrive is optimised for sales workflows, is easy to learn and costs less per user. HubSpot is better if you need marketing email alongside sales.
Marketing-heavy organisation
Best fit: HubSpot.
HubSpot combines CRM, marketing email, landing pages, forms and automation in one platform. The investment is significant, but you avoid integrating multiple tools.
Enterprise (500+ people)
Best fit: Salesforce.
Salesforce handles complexity, customisation and scale that other CRMs cannot match. The cost and complexity are justified when you need advanced reporting, custom objects, AppExchange integrations and granular permissions.
Budget-conscious, feature-rich
Best fit: Zoho.
Zoho offers the broadest feature set at the lowest price point. The trade-off is less polish and a smaller third-party integration ecosystem compared to HubSpot or Salesforce.
