How to Extract Emails from Apollo.io Contacts

Apollo.io is a sales intelligence and engagement platform that combines a large B2B contact database, email finding, prospecting tools, outreach sequences, a CRM, intent data and analytics. Sales teams, SDRs, recruiters and agencies use Apollo.io to find prospects, enrich contact data, build targeted lists and run outreach campaigns.
Apollo.io stores contacts that you have saved, enriched or engaged with. Extracting email addresses from Apollo.io contacts is useful for importing into a separate CRM, deduplicating against other prospect sources, consolidating data across tools, verifying addresses or creating a clean master list.
How to Export from Apollo.io
Exporting saved contacts
- Log in to Apollo.io.
- Go to Contacts or Lists.
- Select the contacts or list you want to export.
- Click Export to download as a CSV file.
- The CSV includes email, first name, last name, company, title, phone, LinkedIn URL and other enriched fields.
Exporting from a sequence
- Go to Sequences.
- Open the sequence you want to export from.
- Export the contacts in that sequence.
Export limits
Apollo.io may have export limits depending on your plan tier. Free plans have limited export credits. Check your plan's limits before exporting large lists.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file exported from Apollo.io. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Import into a CRM
The extracted list can be imported into HubSpot, Salesforce, Pipedrive or another CRM. While Apollo.io has its own CRM, many teams use it alongside a primary CRM.
Deduplicate across tools
If you prospect using multiple tools (Apollo.io, LinkedIn Sales Navigator, ZoomInfo), upload all exports together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.
Verify addresses
Apollo.io provides email confidence scores. However, email addresses can become invalid over time. Running the extracted list through a dedicated verification service before outreach ensures current validity. See Best email verification services.
Create a clean master list
If you have built multiple lists in Apollo.io over time, export and extract from all of them. The deduplicated result is your clean master prospect list.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, company names, titles, phone numbers, LinkedIn URLs, enrichment data and sequence engagement data from the Apollo.io export are not carried over.
Enriched data
Apollo.io enriches contacts with company information, job titles, phone numbers and other data. This enrichment data is valuable for personalised outreach but is not included in email-only extraction.
Email confidence scores
Apollo.io assigns confidence scores to email addresses (verified, likely valid, guessed). The export may include this score. Email Extractor does not filter by confidence score. If you want only high-confidence addresses, filter the CSV by confidence before uploading.
Export credits
Apollo.io uses a credit system. Exporting contacts consumes credits. The number of credits depends on your plan.
Sequences
Apollo.io sequences are automated outreach campaigns. Contacts in sequences have engagement data (opened, replied, bounced). Export from sequences to get a list of prospects you have contacted.
Lists
Apollo.io lists are saved groups of contacts from the database. Lists can be static (fixed set) or dynamic (updated based on criteria). Export from either type.
CRM sync
Apollo.io can sync with external CRMs (Salesforce, HubSpot). If sync is active, contacts may already be in your CRM. Extraction is still useful for consolidation across non-synced tools.
