How to Extract Emails from Asana Project Data

Why Extract from Asana?
Asana is a project management and work management platform. It provides tasks, projects, portfolios, goals, timelines, boards, forms, rules (automations), reporting and integrations. Teams use Asana for project tracking, client management, request intake and operations. Task data may contain email addresses in custom fields, task descriptions or form responses.
Extracting email addresses from Asana data is useful for importing into a CRM or email marketing platform, consolidating contact data from project records, building outreach lists from client projects or creating a backup of stakeholder contacts.
How to Export from Asana
Exporting a project
- Open the project in Asana.
- Click the dropdown arrow next to the project name.
- Select Export/Print then CSV.
- The CSV includes task names, assignees, due dates, sections, custom fields and descriptions.
Exporting via search
- Use Asana's search to find tasks containing email addresses (search for "@" to find tasks mentioning email addresses).
- Export search results.
Exporting forms data
- If you use Asana Forms with an email field, form responses become tasks with the email stored in a custom field.
- Export the project containing form responses as CSV.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file exported from Asana. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Import into a CRM or marketing platform
Asana is a project management tool, not a marketing platform. Import the extracted list into HubSpot, Salesforce, Mailchimp or another platform for contact management and email campaigns.
Consolidate across projects
If contact data is scattered across multiple Asana projects, export each and upload together. Deduplication shows your total unique email addresses.
This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.
Verify addresses
Email addresses in Asana tasks may be manually entered. Verification before outreach is recommended. See Best email verification services.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Task names, assignees, due dates, statuses, custom fields and other data from the Asana export are not carried over.
Custom fields
Asana supports custom fields including text and email fields. Tasks with an email custom field will have that value included in CSV exports.
Task descriptions
Email addresses may appear in task descriptions or comments. Task descriptions are included in CSV exports. Comments are typically not included.
Assignee emails
Asana tasks have assignees (team members). Their email addresses may appear in exports. These are internal team emails, not external contacts. Review results to separate team emails from client emails.
Asana Forms
Asana Forms collect responses that become tasks. If a form includes an email field, the submitted email is stored as a custom field value. Export the project containing form tasks.
Collaborators
Tasks may have collaborators added by email. These emails may appear in export data.
Multiple workspaces
If your organisation uses multiple Asana workspaces, export from each workspace separately.
