How to Extract Emails from ClickUp Tasks and Contacts

On this page

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from ClickUp?

ClickUp is a project management and productivity platform. It provides tasks, docs, goals, whiteboards, dashboards, time tracking, automations, forms and CRM-like views. Teams use ClickUp for project tracking, client management, sales pipelines and operations, and task data often contains email addresses in custom fields, task descriptions or comments.

Extracting email addresses from ClickUp data is useful for importing into a dedicated email marketing platform, consolidating client or lead data, building outreach lists from project records or creating a backup of contact information.

How to Export from ClickUp

Exporting a list or folder

  1. Open the List or Folder in ClickUp.
  2. Click the ellipsis menu (...) on the List header.
  3. Select Export.
  4. Choose CSV as the format.
  5. The CSV includes task names, statuses, assignees, dates, custom fields and descriptions.

Exporting a space

  1. Go to Settings then Import/Export.
  2. Select Export.
  3. Choose the Space to export.
  4. Download the CSV.

Using views

Apply filters (by status, assignee, custom field value) before exporting to narrow the data to records that contain email addresses.

ClickUp Forms

ClickUp Forms collect responses that become tasks. If a form includes an email field, the responses are stored as custom field values on the resulting tasks. Export the list containing those tasks.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file exported from ClickUp. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Import into a CRM or marketing platform

ClickUp is a project management tool, not a marketing platform. Import the extracted list into HubSpot, Mailchimp, ActiveCampaign or another dedicated platform for email campaigns and contact management.

Consolidate across workspaces

If your team uses multiple ClickUp workspaces or spaces for different clients or departments, export from each and upload together. Deduplication reveals total unique email addresses.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Verify addresses

Email addresses in ClickUp tasks may be manually entered and could contain errors. Verification before outreach is recommended. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Task names, statuses, assignees, dates, custom fields and other data from the ClickUp export are not carried over.

Custom fields

ClickUp supports custom fields including an Email field type. Tasks with an email custom field will have that value included in the CSV export.

Email in descriptions and comments

Email addresses may appear in task descriptions or comments. Task descriptions are typically included in CSV exports. Comments may not be included in standard exports.

Assignee emails

ClickUp tasks have assignees (team members). Their email addresses may appear in exports. These are internal team emails, not client contacts. Review results to distinguish between team and client emails.

ClickUp CRM

Some teams use ClickUp as a CRM by creating custom fields for contact information (email, phone, company). If your workspace uses this pattern, the email custom field values appear in exports.

Form responses

ClickUp Forms create tasks from responses. If the form collects an email address, it is stored as a custom field on the task. Export the list containing form-generated tasks to extract respondent emails.

Integrations

ClickUp integrates with email clients, CRMs and other tools. If you use an integration that syncs contact data into ClickUp tasks, those email addresses will be in the export.
