How to Extract Emails from Freshdesk Automations

Why Extract from Freshdesk Automations?

Freshdesk uses automations (called Dispatch'r, Supervisor and Observer rules) to route, escalate, tag and close tickets automatically. Tickets processed by these automations contain requester email addresses, ticket details, tags and status information.

How to Export from Freshdesk

Creating views for automation-tagged tickets

  1. Log in to Freshdesk.
  2. Go to Tickets.
  3. Create a custom view with filters matching automation criteria (e.
  4. Save the view.
  5. Select all tickets in the view and export as CSV or XLS.

Using automation tags

  1. Configure automations to add a tag when they fire (e.
  2. Create a ticket view filtered by that tag.
  3. Export the filtered tickets.

Using Freshdesk Analytics

  1. Go to Analytics.
  2. Create a report filtering tickets by automation-related criteria.
  3. Export the report as CSV.

Using the Freshdesk API

  1. Use the /api/v2/tickets endpoint with filters for tags, status or custom fields.
  2. Each ticket includes the requester's email address.
  3. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or XLS file from Freshdesk. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Priority-based outreach

Extract emails from tickets auto-escalated to high priority. Use the list for proactive outreach or satisfaction recovery.

Resolution follow-up

Extract emails from tickets auto-resolved after a set period. Import into a survey tool for feedback collection.

Group-based segmentation

Export tickets auto-assigned to specific groups (billing, technical, sales). Each group's requester list serves different follow-up purposes.

Import into CRM

Import automation-affected customer emails into HubSpot, Salesforce or another CRM for relationship tracking.

Verify addresses

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, ticket subjects, tags, priorities and other Freshdesk fields are not carried over.

Agent emails

Ticket exports may include agent email addresses alongside requester emails. Review the extracted list and remove internal email addresses.

Multiple tickets per requester

A requester may have many tickets. Email Extractor deduplicates automatically.
