How to Extract Emails from Zendesk Automations

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Zendesk Automations?

Zendesk uses automations to perform actions on tickets based on time-based conditions. Automations can escalate tickets, send follow-up emails, close stale tickets or notify agents. Tickets processed by automations contain requester email addresses, ticket details, tags and status information.

How to Export from Zendesk

Creating views for automation-tagged tickets

  1. Log in to Zendesk.
  2. Go to Views and create a new view.
  3. Set conditions to match tickets processed by a specific automation (e.
  4. Save the view.
  5. Open the view and click Export as CSV.

Using ticket tags

  1. Configure automations to add a tag when they fire (e.
  2. Go to Views or use search to find tickets with that tag.
  3. Export as CSV.

Using Zendesk Explore

  1. Go to Explore (analytics).
  2. Create a report filtering tickets by automation-related criteria (tags, status changes, time-based conditions).
  3. Export the report as CSV.

Using the Zendesk API

  1. Use the Search API to find tickets with specific tags or conditions.
  2. Use the /api/v2/search.json?query=tags:auto-escalated endpoint.
  3. Each ticket includes the requester's email address.
  4. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from Zendesk. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, ticket subjects, tags, statuses and other Zendesk fields are not carried over.

Agent emails

Ticket exports may include agent email addresses alongside requester emails. Review the extracted list and remove internal email addresses.

Multiple tickets per requester

A requester may have many tickets. Email Extractor deduplicates automatically.
