Why Extract from Zendesk Tickets?
Zendesk Support is a help desk platform that manages customer support tickets via email, chat, phone, social media and web forms. Every ticket has a requester with an email address. Over time, a Zendesk instance accumulates a comprehensive database of customer contacts.
While the general Zendesk export is covered in Extract Emails from Zendesk Contacts, this article focuses on extracting email addresses from ticket data for specific use cases like identifying frequent requesters, building customer segments by issue type or consolidating support contacts.
How to Export from Zendesk
Exporting ticket data
- Log in to Zendesk Support as an admin.
- Go to Reporting or Explore (Zendesk's analytics tool).
- Create or open a report that includes ticket data.
- Include the requester email field.
- Export as CSV.
Using views
- Go to Views in Zendesk Support.
- Select or create a view (e.
- Use the Export as CSV option if available for the view.
Exporting users (requesters)
- Go to Admin Center then People.
- Click Customers.
- Use the bulk export option to download user data as CSV.
- The export includes email, name, organization, tags and custom fields.
Using the Zendesk API
- Use the
/api/v2/users.jsonendpoint to list users. - Filter by role (end-users/customers).
- Use the
/api/v2/search.jsonendpoint to search for tickets and extract requester data. - Save results as CSV or JSON.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV or JSON file from Zendesk. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Identify high-contact customers
Extract emails from customers who submitted the most tickets. These contacts may need proactive outreach, onboarding help or account management.
Build customer segments
Export tickets filtered by topic, product, priority or satisfaction rating. Extract emails from each group for targeted campaigns.
Import into CRM
Import support contacts into HubSpot, Salesforce or another CRM to connect support history with sales and marketing data.
Customer satisfaction follow-up
Extract emails from resolved tickets that received low satisfaction ratings for follow-up and recovery campaigns.
Verify addresses
Support contacts submit tickets using their email addresses. Most are valid at the time of submission. Older contacts may have changed addresses. See Best email verification services.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, organizations, ticket subjects, statuses, tags and satisfaction ratings are not carried over.
One requester, many tickets
A single customer may have submitted many tickets. Email Extractor deduplicates automatically, so each email appears once regardless of how many tickets they created.
CC and follower emails
Tickets can include CC recipients and followers. Depending on the export, these additional email addresses may appear alongside the requester's.
Agent vs. customer emails
Ticket exports may include agent (staff) email addresses alongside customer emails. Agents and customers have different roles in Zendesk.
