How to Extract Emails from Freshdesk Tickets

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Freshdesk Tickets?

Freshdesk is a help desk and customer support platform that manages tickets from email, phone, chat, social media and web forms. Every ticket has a requester with an email address. Extracting email addresses from Freshdesk ticket data is useful for building customer contact lists, running satisfaction surveys, analyzing support patterns, sharing data with teams or creating a backup.

While the general Freshdesk export is covered in Extract Emails from Freshdesk Contacts, this article focuses on ticket-level data for extracting requester emails by ticket criteria.

How to Export from Freshdesk

Exporting tickets

  1. Log in to Freshdesk as an admin.
  2. Go to Tickets.
  3. Filter by status, priority, type, date range, agent or other criteria.
  4. Click Export or use the bulk export feature.
  5. Choose CSV format.
  6. Include the requester email field in the export.

Exporting contacts (requesters)

  1. Go to Contacts in Freshdesk.
  2. Filter by criteria if needed (company, last contact date).
  3. Export as CSV.
  4. The export includes email, name, company, phone and other fields.

Using reports

  1. Go to Analytics or Reports.
  2. Create a report that includes ticket data with requester information.
  3. Export the report as CSV or XLSX.

Using the Freshdesk API

  1. Use the /api/v2/tickets endpoint to list tickets.
  2. Include the requester details.
  3. Use the /api/v2/contacts endpoint to list contacts directly.
  4. Save results as CSV or JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from Freshdesk. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Extract requester emails from resolved tickets to send satisfaction surveys through a dedicated survey tool.

Support contact analysis

Identify your most frequent support requesters. High-contact customers may need proactive outreach, training or account management.

Import into CRM

Import support contacts into HubSpot, Salesforce or another CRM to connect support history with sales data.

Segment by issue type

Export tickets filtered by type or category. Extract emails from each to build segments for targeted communication.

Verify addresses

Support requester emails are usually valid (used to receive ticket updates). Older contacts may have outdated addresses. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, ticket subjects, statuses, priorities and other Freshdesk fields are not carried over.

One requester, many tickets

A customer may submit multiple tickets. Email Extractor deduplicates automatically.

CC recipients

Tickets can include CC recipients. Their email addresses may appear in the export alongside the requester's.

Agent emails

Ticket exports may include agent (staff) email addresses alongside customer addresses.
