How to Extract Emails from Zoho Desk Tickets

Why Extract from Zoho Desk Tickets?
Zoho Desk is a help desk platform that manages customer support tickets across email, phone, chat, social media and web forms. Every ticket has a contact (requester) with an email address. Extracting email addresses from Zoho Desk ticket data is useful for building customer contact lists, analyzing support patterns, running satisfaction surveys, sharing data with teams or creating a backup.
While the general Zoho Desk contact export is covered in Extract Emails from Zoho Desk Contacts, this article focuses on ticket-level data for extracting requester emails by ticket criteria.
How to Export from Zoho Desk
Exporting tickets
- Log in to Zoho Desk as an admin.
- Go to Tickets.
- Filter by status (open, closed, on hold), priority, department, date range, channel or other criteria.
- Click Export or More Actions then Export.
- Choose CSV or XLS format.
- Include the contact email field in the export.
Exporting contacts
- Go to Contacts in Zoho Desk.
- Filter by criteria if needed.
- Click Export to download as CSV.
- The export includes email, name, phone, company and other fields.
Using reports and analytics
- Go to Reports or Analytics (Dashboards).
- Create a report that includes ticket data with contact information.
- Export the report as CSV or XLS.
Using the Zoho Desk API
- Use the
/api/v1/ticketsendpoint to list tickets. - Include contact details.
- Use the
/api/v1/contactsendpoint to list contacts directly. - Save results as CSV or JSON.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV or XLS file from Zoho Desk. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Customer satisfaction surveys
Extract requester emails from resolved tickets to send satisfaction surveys through a dedicated survey tool.
Support trend analysis
Export tickets from different departments or time periods. Compare the number of unique requesters to track support demand across product areas.
Import into CRM
Import support contacts into Zoho CRM, HubSpot or another CRM to connect support history with sales and marketing data.
Segment by department or channel
Export tickets filtered by department (billing, technical, general) or channel (email, chat, phone). Extract emails from each for targeted communication.
Verify addresses
Support requester emails are usually valid since customers use them to receive ticket updates. Older contacts may have outdated addresses. See Best email verification services.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, companies, ticket subjects, statuses, priorities and other Zoho Desk fields are not carried over.
One contact, many tickets
A customer may submit multiple tickets. Email Extractor deduplicates automatically.
CC recipients
Tickets can include CC recipients. Their email addresses may appear in the export alongside the requester's.
Agent emails
Ticket exports may include agent (staff) email addresses alongside customer addresses.
Zoho ecosystem
