How to Extract Emails from Zoho Desk Automations

Why Extract from Zoho Desk Automations?

Zoho Desk uses workflow rules, macros, assignment rules and SLA-based automations to manage support tickets. These automations route tickets, send notifications, update fields, escalate issues and close resolved tickets.

How to Export from Zoho Desk

Creating views for automation-affected tickets

  1. Log in to Zoho Desk.
  2. Go to Tickets.
  3. Create a custom view with filters matching automation criteria (e.
  4. Save the view.
  5. Export the view as CSV.

Using ticket tags

  1. Configure workflow rules to add a tag when they fire (e.
  2. Create a view filtered by that tag.
  3. Export the filtered tickets.

Using Zoho Desk reports

  1. Go to Reports.
  2. Create a report filtering tickets by automation-related criteria.
  3. Include contact email in the report columns.
  4. Export as CSV.

Using the Zoho Desk API

  1. Use the /api/v1/tickets endpoint with filters for tags, status or custom fields.
  2. Each ticket includes the contact's email address.
  3. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from Zoho Desk. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Import into CRM

Import automation-affected customer emails into Zoho CRM or another CRM for relationship tracking.

Verify addresses

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, ticket subjects, tags, priorities and other Zoho Desk fields are not carried over.

Agent emails

Ticket exports may include agent email addresses alongside contact emails. Review the extracted list and remove internal email addresses.

Multiple tickets per contact

A contact may have many tickets. Email Extractor deduplicates automatically.
