How to Extract Emails from Greenhouse Candidates

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Greenhouse?

Greenhouse is an applicant tracking system (ATS) and recruiting platform. It provides job posting, candidate tracking, interview scheduling, scorecards, offer management, reporting and integrations. Greenhouse stores candidate email addresses collected during the application process.

Extracting email addresses from Greenhouse data is useful for building alumni candidate pools, creating newsletter lists for past applicants (with consent), consolidating recruiting contacts across tools, data migration or creating a backup.

How to Export from Greenhouse

Exporting candidates

  1. Log in to Greenhouse.
  2. Go to Reports then select a candidate-related report (Candidate Details, All Candidates, Pipeline History, etc.).
  3. Configure the report to include email addresses.
  4. Export the report as CSV or XLSX.
  5. The export includes email, name, job applied for, stage, source and other fields.

Exporting from candidate search

  1. Go to Candidates and use search and filters.
  2. Select candidates and choose to export.

Bulk export

  1. Go to Candidates then All Candidates.
  2. Export the full candidate database.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or XLSX file exported from Greenhouse. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, jobs applied for, stages, sources, interview scores and other fields from the Greenhouse export are not carried over.

Candidate consent

Candidate email addresses were collected for recruiting purposes. Using them for other purposes (marketing, newsletters) requires explicit consent. Many jurisdictions have strict rules about using personal data collected during hiring for other purposes.

Data retention policies

Many companies have data retention policies for candidate data. Check your company's policy before exporting and storing candidate emails outside of Greenhouse.

Personal vs work emails

Candidates may apply with personal or work email addresses. Both appear in exports.

Referral and sourced candidates

Greenhouse tracks candidate sources (job board, referral, sourced). All source types include email addresses in exports.

Greenhouse permissions

Export access in Greenhouse depends on user role and permissions. Site Admins and users with reporting permissions can typically export candidate data.
