Best Recruiting Tools for Extracting Candidate Emails
On this page
Why Recruiting Tools Contain Candidate Emails
Applicant tracking systems (ATS) and recruiting platforms collect candidate email addresses through job applications, sourcing and referrals. Every candidate in the system has an email address used for application confirmations, interview scheduling, status updates and offer letters. For organisations that have been hiring for years, the ATS contains a large database of professional contacts.
Extracting candidate emails from recruiting tools is useful for building talent communities, migrating between ATS platforms, consolidating sourcing data, creating re-engagement campaigns (with consent) or backing up candidate databases.

How to Extract from Any Recruiting Tool
The process is the same across platforms:
- Export candidates from the ATS as CSV or Excel.
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the file (or files from multiple tools). Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates across all files are removed automatically.
- Download as TXT, CSV, or CSV with sources.
Consolidating Across Recruiting Tools
Recruiting teams often use multiple tools (an ATS, LinkedIn Recruiter, sourcing tools, email inboxes). Upload exports from all tools together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.
After Extraction
Build a talent community
Import extracted emails into a CRM or email marketing platform for talent community newsletters, job alerts and engagement. Ensure you have candidate consent for non-recruiting communications.
Verify addresses
Candidate emails collected months or years ago may be outdated. Verification before re-engagement is recommended. See Best email verification services.
Respect privacy regulations
Candidate data collected for recruiting is subject to privacy laws (GDPR, CCPA). Using it for other purposes requires explicit consent and compliance with data retention policies.
