How to Extract Emails from Keap Contacts

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Keap?

Keap (formerly Infusionsoft) is a CRM and marketing automation platform for small businesses. It provides contact management, email marketing, automations (campaign builder), sales pipelines, invoicing, appointments, landing pages, forms and ecommerce. Keap stores all customer and lead data in one platform.

Extracting email addresses from Keap contact data is useful for migrating to another platform, consolidating contacts across tools, creating a backup, sharing contacts with teams or importing into a specialized tool.

How to Export from Keap

Exporting contacts

  1. Log in to Keap.
  2. Go to Contacts.
  3. Apply filters (by tag, date, stage, custom field, etc.).
  4. Click Export (or Actions then Export).
  5. Choose which fields to include. Make sure email is selected.
  6. Export as CSV.
  7. Download the file.

Exporting by tag

  1. Go to Contacts.
  2. Filter by a specific tag.
  3. Export the filtered list as CSV.

Exporting from saved searches

  1. Use a saved search to define the contact set.
  2. Export the results as CSV.

Using the API

Keap provides a REST API for accessing contact data. Use it for larger exports or automated workflows.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file exported from Keap. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Migrate to another platform

If switching from Keap to another CRM or email platform (HubSpot, ActiveCampaign, Mailchimp), extract contacts to import into the new system.

Compare with other tools

Upload Keap exports alongside exports from other platforms. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original transaction records to confirm purchases and match customers; unique addresses are not a count of unique people.

Build a suppression list

Export contacts with specific statuses (opted out, bounced, inactive) to create a suppression list for use in other platforms.

Verify addresses

Long-standing contact databases may contain many invalid addresses. Verification before campaigns is recommended. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, tags, custom fields, purchase history, lead scores and other Keap data are not carried over.

Multiple email fields

Keap contacts can have multiple email addresses (Email 1, Email 2, Email 3). The extraction captures all email addresses found in the file.

Opt-in status

Keap tracks email opt-in status (single opt-in, double opt-in, opted out, non-marketable). Filter by opt-in status before exporting to get only marketable contacts.

Infusionsoft vs Keap

Keap was previously called Infusionsoft. If you are on a legacy Infusionsoft plan, the export process may differ slightly. Infusionsoft (now "Keap Max Classic") has a different interface.

Tags

Keap uses tags extensively for segmentation and automation triggers. Filter by tag before exporting for targeted extraction.
