How to Extract Emails from Keap Reports

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Keap Reports?

Keap (formerly Infusionsoft) provides reporting on contacts, sales, email broadcasts, automation performance, pipeline stages and revenue. Reports pull data from contacts, opportunities and orders, and can be filtered by tags, dates, pipeline stages, lead sources and custom fields.

How to Export from Keap

Exporting contact reports

  1. Log in to Keap.
  2. Go to Reports or CRM then Contacts.
  3. Use search and filter options to narrow contacts by criteria (tag, date added, lead source, email status).
  4. Select all filtered contacts.
  5. Click Export to download as CSV.

Using saved searches

  1. Go to CRM then Contacts.
  2. Create a saved search with specific criteria.
  3. Run the search.
  4. Export the results.

Exporting from the dashboard

  1. Go to Dashboard or Reports.
  2. Select a report type (Email Broadcasts, Pipeline, Revenue).
  3. View contact-level data within the report.
  4. Export as CSV where available.

Using the Keap API

  1. Use the Contact Search endpoint with query parameters.
  2. Filter by tag, lead source, date range or custom fields.
  3. Each contact includes the email address.
  4. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from Keap. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Tag-based segmentation

Export contacts filtered by tags. Keap uses tags extensively for segmentation. Each tag group's contact list serves a specific outreach purpose.

Lead source analysis

Export contacts by lead source (web form, referral, manual entry, purchase). Use for source-specific follow-up campaigns.

Pipeline-stage outreach

Export contacts at specific pipeline stages. Use for stage-appropriate messaging.

Import into external tools

Import report-filtered contact emails into external marketing or CRM platforms for campaigns.

Verify addresses

Contact emails from reports may include older records. Verify before sending. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, tags, lead sources, pipeline stages and other Keap fields are not carried over.

Email status

Keap tracks email status per contact (opted in, opted out, hard bounce, soft bounce). Consider filtering by status before export.
