How to Extract Emails from a Keap Export

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.
Why Extract from Keap?
Keap (formerly Infusionsoft) is a CRM and marketing automation platform designed for small businesses. It combines contact management, email marketing, sales pipeline tracking, appointment scheduling, invoicing and e-commerce in one platform. Keap stores contact records that include email addresses, phone numbers, addresses, tags, custom fields, purchase history, appointment data and detailed automation engagement data.
Extracting email addresses from Keap data is useful in several scenarios.
Migrating to another platform. When switching from Keap to a different CRM or email marketing platform (HubSpot, ActiveCampaign, Mailchimp, Zoho CRM), a clean email list helps verify migration completeness.
Consolidating contacts. If you use Keap alongside other tools (a separate email platform, a scheduling tool, an ecommerce platform), extracting from each and deduplicating reveals your total unique email-address count.
This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.
Backing up your database. Keap databases can hold years of contact and transaction data. An independent backup of email addresses provides insurance against account issues or plan changes.
Auditing your contact count. Keap charges based on contact count. Extracting and counting unique email addresses gives you an independent check on your database size.
How to Export from Keap
Keap allows you to export contact data.
Exporting contacts
- Log in to Keap.
- Go to Contacts (or CRM > Contacts).
- Apply any desired filters or saved searches to export a subset, or select all contacts.
- Click Export (or find the export option in the actions menu).
- Choose which fields to include. Email is typically included by default.
- Choose CSV as the format.
- Download the file. For large databases, Keap may email you when the export is ready.
Legacy Infusionsoft exports
If you are using the legacy Infusionsoft interface (Keap Max Classic), the export process may differ slightly. Look for the export option under the Contacts or CRM section. Infusionsoft exports may also support XML format, but CSV is the most compatible with Email Extractor.
Export fields
Keap exports can include: email address (up to three: Email 1, Email 2, Email 3), first name, last name, company, phone numbers, address, tags, custom fields, lead source, date created, last updated, opt-in status and more. The exact columns depend on your export settings and Keap configuration.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Compare with a new CRM
After migrating from Keap to a new CRM, extract from both systems. Comparing the two lists confirms whether all contacts were successfully migrated. Missing addresses indicate import issues.
Combine with ecommerce data
If you use Keap's built-in ecommerce features alongside a separate Shopify or WooCommerce store, export customer data from both. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original transaction records to confirm purchases and match customers; unique addresses are not a count of unique people.
Separate by tag
If you use Keap tags extensively (e.g., "Customer," "Prospect," "Partner," "Event attendee"), export by tag and upload each export separately. CSV with sources shows which tags each address belongs to.
Verify before outreach
Keap databases can span many years of contact accumulation. Run the extracted list through a verification service to identify addresses that are no longer active. See Best email verification services.
Things to Know
Multiple email addresses per contact
Keap supports up to three email addresses per contact (Email 1, Email 2, Email 3). All email addresses in the export are extracted. A contact with three email addresses contributes three entries to the extracted list.
Column headers are not extracted
CSV column headers from Keap are text, not email addresses, so they do not appear in the extracted results.
Contact data is not preserved
Email Extractor outputs email addresses only. Names, companies, phone numbers, tags, custom fields, purchase history, automation data and other metadata from the Keap export are not carried over. If you need those fields, import the original CSV directly.
Opt-out and non-marketable contacts
Keap tracks contact marketing status. Some contacts may be marked as opted out or non-marketable. The export may include these contacts depending on your filter settings. Do not re-subscribe opted-out contacts on another platform. Check the opt-in status column in the original export.
Keap pricing and contact count
Keap charges based on the number of contacts in your database. If you are evaluating whether to clean your database, extracting and counting unique email addresses shows your actual unique email count, which may be lower than Keap's contact count if duplicate records exist.
Automation and campaign builder data
Keap's automation sequences and campaign builder data (which contacts are at which stage of which automation) are not included in a standard contact CSV export. If migrating, you will need to recreate automations on the new platform.
Legacy data
Some Keap accounts have been active since the Infusionsoft days (pre-2019 rebrand). Older contacts may have outdated email addresses. Verification is especially important for long-standing databases.
