How to Import Extracted Emails into Keap

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.
Why Import into Keap?
Keap (formerly Infusionsoft) is a CRM and marketing automation platform designed for small businesses. It combines contact management, email marketing, sales pipeline, invoicing, appointments, landing pages and automation workflows in one platform. Small business owners, solopreneurs and service-based businesses use Keap to manage their customer relationships and marketing.
After extracting email addresses with Email Extractor, you can import them into Keap to create contact records, add them to marketing campaigns, set up automation sequences and manage them through the sales pipeline.
Preparing the File
Email Extractor gives you three download formats:
TXT file. One email per line. Can be imported into Keap.
CSV file. One column of email addresses. Works well for import.
CSV with sources. Two columns: email and source file. Map only the email column during import.
For Keap, CSV is the recommended format.
How to Import
- Log in to Keap.
- Go to Contacts.
- Click Import Contacts (or Add Contacts then Import).
- Upload the CSV file exported from Email Extractor.
- Map the email column to the Email field in Keap.
- Choose how to handle duplicates (skip, update or create new).
- Optionally apply a tag to all imported contacts (useful for tracking the import batch).
- Review and confirm the import.
- Keap processes the import and shows how many contacts were added or updated.
After Import
Apply tags
Keap uses tags extensively for organising and segmenting contacts. Apply tags to imported contacts to indicate their source, status or intended campaign.
Set up automation
Keap's automation builder triggers workflows based on tags, form submissions, purchases and other events. Create an automation that triggers when a tag is applied (the import tag) to send a welcome sequence or move contacts through a nurture campaign.
Add to a campaign
Create an email campaign targeted at the imported contacts using tags or saved searches.
Verify the list
Keap does not include built-in email verification at the level of dedicated services. Consider verifying the list before import. See Best email verification services.
Clean the list
After the first campaign, review bounce data and unsubscribes. Remove invalid addresses to maintain list health.
Things to Know
Keap editions
Keap offers different editions with varying features. Some automation and CRM features are available only on higher-tier plans. Import functionality is available across plans.
Contact limits
Keap plans have contact limits. Check your plan's limit before importing a large list.
Tags vs lists
Unlike platforms that use separate mailing lists, Keap uses tags to segment contacts. All contacts live in one database, and tags determine which campaigns and automations apply to them.
Automation
Keap's automation builder (Campaign Builder in Infusionsoft, Easy Automations in newer Keap) is powerful for creating multi-step marketing workflows. Imported contacts can be routed into these automations through tags.
Merge tags and personalisation
Since Email Extractor outputs email addresses only, personalisation fields (first name, company, etc.) will not be populated. Add this data manually or through enrichment after import.
Email Extractor does not establish consent
Extracting email addresses does not create permission to send marketing emails. Ensure you have appropriate consent before sending through Keap. See Consent types explained.
Compliance
Keap enforces anti-spam policies. Imported lists must comply with CAN-SPAM and other applicable regulations. High bounce rates or spam complaints can result in account restrictions.
Previously Infusionsoft
Keap was previously known as Infusionsoft. If you have an older Infusionsoft account, the import process may differ slightly. The platform has been consolidated under the Keap brand.
