How to Extract Emails from Klaviyo Segments

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Klaviyo Segments?

Klaviyo is an email and SMS marketing platform widely used in ecommerce. Its segmentation engine creates dynamic groups of profiles based on behavior, purchase history, engagement, location, custom properties and more. Segments update in real time as profiles match or stop matching the criteria.

Extracting email addresses from specific Klaviyo segments is useful for importing targeted lists into a CRM, sharing data with teams, running campaigns through a different platform, cross-referencing with other data sources or creating a backup.

How to Export from Klaviyo

Exporting a segment

1. Log in to Klaviyo.
2. Go to Audience then Lists & Segments.
3. Click on the segment you want to export.
4. Click the three-dot menu or Manage Segment.
5. Select Export Segment to download as CSV.
6. The CSV includes email, name, location, custom properties and other profile fields.

Creating a segment for export

1. Go to Audience then Lists & Segments.
2. Click Create List / Segment then select Segment.

Common segments to export

• Engaged subscribers: Opened or clicked an email in the last 90 days.
• VIP customers: Placed more than a set number of orders or spent above a threshold.
• At-risk customers: Have not purchased in 6+ months but were previously active.
• New subscribers: Signed up in the last 30 days.
• Win-back candidates: Previously purchased but have not engaged recently.

How to Extract the Email Addresses

1. Go to bulkemailextractor.com.
2. Select "Text and files."
3. Upload the CSV file from Klaviyo. Up to 25 MB per file, 100 MB per batch.
4. Click "Extract emails."
5. Review the results. Duplicates are removed automatically.
6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Import segmented profiles into HubSpot, Salesforce or another CRM for targeted sales and support activities based on customer behavior.

Cross-platform campaigns

Run campaigns through a different platform using a specific Klaviyo segment. Extract and import the list into the target platform.

Compare segments

Export multiple segments and upload together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.

Audience analysis

Export segments at regular intervals to track how segment sizes change over time. Growing engagement segments indicate healthy list performance.

Verify addresses

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, locations, purchase history, custom properties and other Klaviyo fields are not carried over.

Dynamic segments

Klaviyo segments are dynamic and update in real time. The export captures profiles that match the conditions at the time of export. Exporting the same segment later may produce different results.

Lists vs. segments

Klaviyo lists are static (profiles are added manually or through integrations). Segments are dynamic (profiles are included based on conditions). Both can be exported.

Suppressed profiles

Profiles that are suppressed (unsubscribed or bounced) may be excluded from segments depending on segment conditions.
