How to Extract Emails from a Klaviyo Export

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Klaviyo?

Klaviyo is an email and SMS marketing platform popular with ecommerce businesses. It stores detailed customer profiles that include email addresses, phone numbers, purchase history, website activity, engagement metrics, segment memberships and custom properties. Profiles are synced from ecommerce platforms (Shopify, WooCommerce, BigCommerce), imported manually, or collected through Klaviyo sign-up forms.

Extracting email addresses from Klaviyo data is useful in several scenarios.

Migrating to another platform. When switching from Klaviyo to a different email marketing service, a clean email list provides a migration cross-reference or a simple starting point for the new platform.

Consolidating contacts. If customers interact with your brand through Klaviyo, a CRM, a help desk, and a separate point-of-sale system, extracting from each and deduplicating reveals your total unique email-address count.

Comparing lists. You may want to identify which customers are in Klaviyo but not in your CRM, or which CRM contacts are not receiving your Klaviyo campaigns.

Preparing for platform changes. Before downgrading a Klaviyo plan or changing your ecommerce platform, extracting all email addresses ensures you have a backup of every contact's address.

How to Export from Klaviyo

Klaviyo allows you to export profiles from lists and segments.

Exporting a list or segment

  1. Log in to Klaviyo.
  2. Go to Audience and then Lists & Segments.
  3. Select the list or segment you want to export.
  4. Click the list or segment name to open it.
  5. Click Manage List (or Manage Segment) and select Export to CSV.
  6. Choose which profile properties to include. Email is always included.
  7. Klaviyo generates the CSV file and makes it available for download. For large lists, you may receive an email notification when the export is ready.

Exporting all profiles

To export all profiles (not just a specific list or segment):

  1. Go to Audience and then Profiles.
  2. Use the export function from the Profiles section (availability may depend on your Klaviyo plan and permissions).
  3. Choose CSV format and select the properties to include.

Export fields

Klaviyo profile exports can include many fields: email, phone number, first name, last name, city, region, country, consent status, custom properties, and ecommerce data (total revenue, order count, last order date). The email column is always present.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file (or files, if you exported from multiple lists or segments). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which export file each address came from.

Working with the Results

Track segment membership

If you export each Klaviyo segment separately (e.g., "Active Subscribers," "Lapsed Customers," "VIP Buyers"), uploading all files and downloading as CSV with sources shows which segment each address came from. This helps you understand audience overlap.

Combine with ecommerce platform data

Upload your Klaviyo export alongside a customer export from Shopify, WooCommerce, or BigCommerce. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Confirm subscription or membership status in the original records; matching addresses alone do not establish a current active membership.

Combine with other marketing tools

If you use Klaviyo alongside another email tool, a CRM, or a customer data platform, export from each and upload all files in a single extraction. The deduplicated list shows your total unique email-address count across all systems.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Verify before migration

Before importing an extracted list into a new platform, consider running it through an email verification service. Long-running Klaviyo accounts may contain profiles that have bounced, unsubscribed, or gone inactive. See Best email verification services.

Things to Know

Column headers are not extracted

CSV column headers like "Email" or "$first_name" are text, not email addresses, so they do not appear in the extracted results.

Customer data is not preserved

Email Extractor outputs email addresses only. Profile names, phone numbers, purchase history, revenue figures, consent status and custom properties from the Klaviyo export are not carried over. If you need those fields in your new platform, import the original CSV directly.

Suppressed profiles

Klaviyo maintains a suppression list of profiles that have unsubscribed, marked email as spam, or hard-bounced. Depending on your export settings, these profiles may or may not be included. If they are, do not re-subscribe them on another platform. Review the consent status column in the original export to identify suppressed profiles.

SMS-only profiles

Some Klaviyo profiles may have a phone number but no email address (SMS-only subscribers). These profiles will not appear in the extracted results since there is no email address to extract.

Klaviyo's pricing model

Klaviyo charges based on the number of active profiles. Exporting and extracting gives you a clear count of unique email addresses, which may differ from Klaviyo's active profile count (which includes suppressed profiles and SMS-only profiles).
