How to Extract Emails from Microsoft Teams Members
On this page
Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.
Why Extract from Microsoft Teams?
Microsoft Teams is a collaboration platform within Microsoft 365 that provides chat, video meetings, file sharing, channels and integrations. Every Teams user has a Microsoft 365 email address. Organizations use Teams for internal communication, project collaboration and external guest access.
Extracting email addresses from Teams member data is useful for building contact lists, auditing team membership, creating distribution lists in external tools, migrating to another platform or consolidating directories.
How to Export from Microsoft Teams
Using Microsoft 365 Admin Center
- Log in to the Microsoft 365 Admin Center at admin.microsoft.com.
- Go to Users then Active users.
- Click Export to download a CSV of all users.
- The CSV includes display name, email address, license status and other fields.
Exporting a specific team's members
Microsoft Teams does not provide a direct CSV export of individual team members from the Teams app. To get a specific team's member list:
Option A: Use Azure Active Directory / Entra ID
- Go to the Azure portal (portal.azure.com) or Entra admin center.
- Navigate to Groups.
- Find the Microsoft 365 group corresponding to the team.
- View and export members.
Option B: Use PowerShell
- Open PowerShell with the Microsoft Teams module installed.
- Run
Get-TeamUser -GroupId <group-id>to list members of a specific team. - Export results to CSV with
| Export-Csv -Path members.csv.
Option C: Use Microsoft Graph API
- Use the
/groups/{group-id}/membersendpoint. - Save results as CSV or JSON.
Exporting guest users
- In the Admin Center, filter users by Guest users.
- Export the filtered list as CSV.
- Guest users have external email addresses.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file from Microsoft 365 or the PowerShell export. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Build external distribution lists
Create email lists in platforms outside Microsoft 365 for newsletters, announcements or project updates.
Audit team membership
Compare the extracted list against expected rosters to identify inactive accounts, former employees or unauthorized guests.
Cross-platform migration
If moving from Microsoft Teams to Slack, Google Workspace or another platform, extract member emails to invite them.
Import into CRM
Import team member emails into a CRM for relationship tracking, especially for external guest contacts.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Display names, roles, license types, departments and other Microsoft 365 attributes are not carried over.
Admin access required
Exporting the full user directory or specific team membership requires Microsoft 365 admin or Teams admin permissions.
Guest vs. member accounts
Teams distinguishes between internal members (with Microsoft 365 licenses) and external guests (with outside email addresses). Both appear in exports.
Shared channels
Shared channels can include users from other organizations. Their external email addresses appear in the member list.
Microsoft 365 groups
Every team in Microsoft Teams has a corresponding Microsoft 365 group. The group membership and the team membership are the same.
