How to Extract Emails from Microsoft Forms Responses

Why Extract from Microsoft Forms?

Microsoft Forms is a form and survey builder included with Microsoft 365 (formerly Office 365). It is widely used in businesses, schools, universities and government organisations for surveys, quizzes, registrations, feedback forms, event sign-ups and internal requests. Responses are stored in Microsoft Forms and can be exported to Excel.

Extracting email addresses from Microsoft Forms responses is useful in several scenarios.

Building a contact list from registration forms. If you use Microsoft Forms for event registrations, webinar sign-ups, or newsletter subscriptions, the email addresses from those responses form a contact list.

Combining responses from multiple forms. If you have created separate forms for different events, departments or purposes, email addresses are spread across multiple forms. Extracting from all of them produces a single deduplicated list.

Migrating to a dedicated platform. If you have been using Microsoft Forms for contact collection but want to move contacts into a CRM or email marketing platform, extracting gives you a clean list to import.

Cross-referencing with other systems. You may want to check which form respondents are already in your CRM, which are in your email marketing platform, or which are missing from your internal directory.

How to Export from Microsoft Forms

Microsoft Forms exports responses to Excel (XLSX format).

Exporting responses

  1. Go to forms.office.com or open Microsoft Forms from your Microsoft 365 app launcher.
  2. Open the form whose responses you want to export.
  3. Click the Responses tab at the top.
  4. Click Open in Excel (or Export to Excel, depending on your version).
  5. An XLSX file downloads containing all responses, one row per submission, one column per question.

Repeat for each form you want to extract from.

Where email addresses appear

Email addresses in Microsoft Forms responses can appear in several places:

Email question field. If your form includes a question asking for the respondent's email address, the answers appear in the column for that question.

Respondent identity column. If the form is set to record the respondent's name (available for forms shared within an organisation), the export may include columns like "Respondent" or "Email" showing the Microsoft 365 account email of each respondent. This only appears when the form is shared internally and "Record name" is turned on.

Free-text answers. If respondents typed email addresses in text fields (e.g., "Please list your team members' email addresses"), those addresses appear as free text in the relevant column.

Email Extractor scans all text in the file, so it finds email addresses regardless of which column they appear in.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the XLSX file (or files, if you exported from multiple forms). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.

Working with the Results

Combine responses from multiple forms

If you run separate Microsoft Forms for different events or purposes, export each form and upload all XLSX files in a single extraction. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.

Track which form each address came from

Downloading as CSV with sources shows which XLSX file each address was found in. If you name your export files descriptively (e.g., "Q1-webinar-registrations.xlsx", "annual-survey-2026.xlsx"), the source column identifies which form each contact responded to.

Combine with other form builders

If your organisation uses Microsoft Forms alongside Google Forms, Typeform, or another form builder, export from each and upload all files in one extraction. Deduplication gives you one clean list across all form platforms.

Import into Microsoft 365 tools

After extraction, you can import the email list into Outlook contacts, a SharePoint list, or a Microsoft Dynamics CRM instance. For email marketing, import into your platform of choice (Mailchimp, HubSpot, Constant Contact, etc.).

Things to Know

Column headers are not extracted

Excel column headers from Microsoft Forms (your question text) are text, not email addresses, so they do not appear in the extracted results.

Response data is not preserved

Email Extractor outputs email addresses only. Names, survey answers, quiz scores, timestamps, and other response data from the Microsoft Forms export are not carried over. If you need those fields, work with the original XLSX file.

Internal vs external forms

Microsoft Forms can be shared internally (within your organisation) or externally (anyone with the link). Internal forms can record the respondent's Microsoft 365 email automatically. External forms cannot access the respondent's identity, so you must include an email question in the form if you want to collect email addresses from external respondents.

Respondent email vs submitted email

If a form both records the respondent's identity and includes an email question, the export may contain two different email addresses per row: the respondent's Microsoft 365 account email and the email they typed in the form. Both will appear in the extracted results. This is accurate but can increase the count if people use different email addresses.

Formulas are not calculated

Email Extractor reads cell values as stored in the spreadsheet. Microsoft Forms exports contain raw response data, not formulas, so this limitation does not typically affect Forms exports. However, if you edit the exported XLSX and add formulas that generate email addresses, those calculated values are not extracted. See Extract emails from XLSX files.

Quiz vs form

Microsoft Forms has two modes: Form (for surveys and data collection) and Quiz (for assessments with scoring). Both export to Excel in the same way. Quiz exports include score columns alongside response data, but the extraction process is identical.
