How to Extract Emails from Cognito Forms Responses

Why Extract from Cognito Forms?
Cognito Forms is a form builder used for contact forms, registration forms, order forms, surveys, applications and event sign-ups. It supports conditional logic, calculations, payment processing and file uploads. Cognito Forms stores every submission, including email addresses entered by respondents, along with all other form field values.
Extracting email addresses from Cognito Forms responses is useful in several scenarios.
Building a contact list. Registration forms, inquiry forms and newsletter sign-up forms collect email addresses that you may want to add to a mailing list, CRM or email marketing platform.
Consolidating sign-ups across forms. If you run multiple Cognito Forms for different purposes (event registration, contact requests, product inquiries), extracting from each and deduplicating reveals your total unique email-address count.
This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.
Preparing for a platform switch. Before switching from Cognito Forms to another form builder, extracting email addresses from past submissions ensures you have a record of everyone who submitted a form.
Cross-referencing with other data. Combining form respondent email addresses with exports from your CRM or email platform shows which form submitters are already in your system and which are new leads.
How to Export from Cognito Forms
Cognito Forms allows form owners to export submission data.
Exporting entries
- Log in to Cognito Forms.
- Select the form whose entries you want to export.
- Go to the Entries tab.
- Click Export (or the export/download button).
- Choose the export format: Excel (XLSX) or CSV.
- Optionally filter entries by date range, status or other criteria before exporting.
- Download the file.
Export fields
The exported file includes one row per submission and one column per form field. If your form has fields for name, email, phone, message and any custom fields, all of those appear as columns. The email column contains the email addresses respondents entered.
Multiple forms
If you have several forms (a contact form, a registration form, an order form), export each one separately. You can upload all exports to Email Extractor in one batch.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the exported file. Email Extractor supports both CSV and XLSX formats. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.
Working with the Results
Import into an email marketing platform
The extracted list can be imported into Mailchimp, ActiveCampaign, Kit, Brevo or any other email platform. Since the extraction produces email addresses only, names and other form data are not carried over. Use the original export if you need additional fields.
Combine multiple forms
If you run separate Cognito Forms for different events, locations or departments, upload all exports together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.
Track form submissions over time
Export submissions quarterly or monthly, extract, and compare with previous extractions. New addresses represent new contacts. This gives you a simple growth metric for form-based lead generation.
Cross-reference with your CRM
Upload your Cognito Forms export alongside a CRM export. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Things to Know
Column headers are not extracted
Column headers from Cognito Forms exports are text labels (like "Email Address"), not actual email addresses, so they do not appear in the extracted results.
Respondent data is not preserved
Email Extractor outputs email addresses only. Names, phone numbers, message text, custom field values, payment data and other submission details from the Cognito Forms export are not carried over. If you need those fields, use the original export file.
XLSX and CSV both work
Cognito Forms can export as either Excel (XLSX) or CSV. Email Extractor supports both formats. XLSX files are read directly without needing conversion.
Notification email addresses
If your form sends notification emails (to yourself or your team), those notification addresses are not in the submission data and will not appear in the exported file. Only respondent-entered email addresses are included.
Forms without email fields
If a Cognito Forms form does not include an email field, the export will not contain email addresses. Some forms collect only names, phone numbers or other data without requiring an email.
Duplicate submissions
If the same person submits a form more than once with the same email address, both submissions appear in the export. Email Extractor deduplicates automatically, so the address appears once in the results.
Calculated and conditional fields
Cognito Forms supports calculated fields and conditional logic. If an email field is conditionally shown (only appears when a certain option is selected), entries where that field was hidden will have no email value for that row. Those rows simply contribute no email address to the extraction.
