How to Extract Emails from Paperform Responses
On this page
Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.
Why Extract from Paperform?
Paperform is a form builder that combines form creation with landing pages and payment processing. It is used for contact forms, bookings, registrations, surveys, product orders and lead capture. Paperform stores every submission, including email addresses entered by respondents, along with all other field values, payments and file uploads.
Extracting email addresses from Paperform responses is useful in several scenarios.
Building a contact list. Lead capture forms, booking forms, registration forms and inquiry forms all collect email addresses. Extracting gives you a clean list to import into a CRM or email marketing platform.
Consolidating responses across forms. If you run multiple Paperforms for different purposes (event sign-ups, consultations, product inquiries), extracting from each and deduplicating reveals your total unique respondent count.
Preparing for a platform switch. Before switching from Paperform to another form builder, extracting email addresses from past submissions ensures you have a record of every respondent.
Cross-referencing with existing contacts. Combining form respondent email addresses with exports from your CRM or email platform shows which form submitters are already in your system and which are new.
How to Export from Paperform
Paperform allows form owners to export submission data.
Exporting submissions
- Log in to Paperform.
- Go to the form whose submissions you want to export.
- Navigate to the Results (or Submissions) tab.
- Click Export (or the download button).
- Choose the export format: CSV or Excel (XLSX).
- Download the file.
Export fields
The exported file includes one row per submission and one column per form field. If your form has fields for name, email, message and any custom questions, all of those appear as columns.
Filtering before export
Paperform may allow you to filter submissions (by date, completion status or specific field values) before exporting. Use filters if you want a subset of responses.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the exported file. Email Extractor supports both CSV and XLSX formats. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.
Working with the Results
Import into a CRM or email platform
The extracted list can be imported into HubSpot, Salesforce, Mailchimp, ActiveCampaign or any other platform that accepts CSV imports. Since the extraction produces email addresses only, names and other form data are not carried over. Use the original export if you need additional fields.
Combine multiple forms
If you run separate Paperforms for different services, locations or campaigns, upload all exports together. Deduplication shows how many unique respondents you have across all forms.
Track respondent growth
Export submissions monthly or quarterly, extract, and compare with previous periods. New addresses represent new leads. This gives you a simple growth metric for form-based lead generation.
Cross-reference with payment data
Paperform supports payments through Stripe, PayPal, Braintree and Square. If you want to identify which paying customers also submitted contact forms, combine payment platform exports with Paperform exports and extract together.
Things to Know
Column headers are not extracted
Column headers from Paperform exports are text labels, not email addresses, so they do not appear in the extracted results.
Respondent data is not preserved
Email Extractor outputs email addresses only. Names, phone numbers, message text, custom field values, payment amounts and file uploads from the Paperform export are not carried over. If you need those fields, use the original export file.
XLSX and CSV both work
Paperform can export as either Excel (XLSX) or CSV. Email Extractor supports both formats.
Forms without email fields
If a Paperform does not include an email field, the export will not contain email addresses. Some forms collect only names, phone numbers or other data.
Partial submissions
Depending on your Paperform settings, partial submissions (forms started but not completed) may or may not be included in exports. If included, they may have empty email fields. Rows without email addresses contribute nothing to the extraction.
Paperform's built-in integrations
Paperform integrates with Mailchimp, ActiveCampaign, Google Sheets, Zapier and other tools. If you have integrations active, your form submissions may already be flowing into another platform. Extraction is useful for consolidation, verification and backup, even when integrations are running.
