How to Extract Emails from Ninja Forms Submissions

Why Extract from Ninja Forms?
Ninja Forms is a WordPress form builder plugin used to create contact forms, registration forms, payment forms, surveys and other data collection tools. It stores form submissions in the WordPress database and provides a submissions management interface within the WordPress admin dashboard. Ninja Forms offers a drag-and-drop builder, conditional logic, multi-part forms and integration with email marketing platforms and CRMs.
Extracting email addresses from Ninja Forms submissions is useful in several scenarios.
Building an email list. Contact forms, registration forms and newsletter sign-up forms collect email addresses that you may want to import into a CRM or email marketing platform.
Migrating away from WordPress. When switching from WordPress to another CMS, extracting form submission email addresses ensures no contacts are lost.
Consolidating contacts. If you run Ninja Forms on multiple pages or alongside other form builders, extracting from each and deduplicating reveals your total unique respondent count.
Backing up form data. Having a separate extracted email list provides a backup independent of your WordPress database.
Switching form builders. When moving from Ninja Forms to WPForms, Gravity Forms, JotForm or another form builder, extracting your historical submissions preserves your contacts.
How to Export from Ninja Forms
Ninja Forms stores submissions in the WordPress database. You can export them from the WordPress admin dashboard.
Exporting submissions
- Log in to your WordPress admin dashboard.
- Go to Ninja Forms > Submissions.
- Select the form whose submissions you want to export.
- Click Export submissions (or the download/export button).
- Ninja Forms generates a CSV file containing the submission data.
- Download the CSV file.
Alternative: database export
If the submission export feature is not available (some configurations may limit this), you can use a WordPress database export plugin to export the Ninja Forms submissions table directly.
Export fields
The exported CSV includes one row per submission and one column per form field. If your form collects email, name, phone, message and custom fields, all appear as columns. The export may also include submission ID, date, user IP and other metadata.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file (or multiple files from different forms). Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.
Working with the Results
Import into a CRM
The extracted list can be imported into HubSpot, Salesforce, Pipedrive or any CRM. This is useful when WordPress contact forms are a primary lead source.
Import into an email marketing platform
Import the list into Mailchimp, ActiveCampaign, Kit, MailerLite or another email marketing platform to add form respondents to your mailing list.
Compare with integration data
Ninja Forms integrates with email marketing platforms and CRMs through add-ons. If you use these integrations, comparing the extracted email list with your CRM or email platform export verifies that all submissions were synced correctly.
Combine forms from multiple sites
Upload exports from multiple WordPress sites running Ninja Forms. Deduplication shows your total unique respondent count across all sites.
Verify addresses
Form submissions may contain typos or spam entries. Running the extracted list through a verification service removes invalid addresses. See Best email verification services.
Things to Know
Column headers are not extracted
CSV column headers from Ninja Forms exports are field labels, not email addresses, so they do not appear in the extracted results.
Submission data is not preserved
Email Extractor outputs email addresses only. Names, phone numbers, messages, custom fields and metadata from the Ninja Forms export are not carried over.
Spam submissions
Ninja Forms supports anti-spam measures (honeypot, Google reCAPTCHA, Akismet). Despite these protections, some spam submissions may be stored. Spam entries with fake email addresses will be extracted. Verification after extraction helps filter these out.
Forms without email fields
If a Ninja Forms form does not include an email field, the export will not contain email addresses. Only forms that collect email addresses will produce useful results for extraction.
Multi-part forms
Ninja Forms supports multi-part (multi-page) forms. If the email field is on a later page, partial submissions (where the user abandoned before reaching the email field) may have no email address. These partial submissions will have empty email cells in the export.
Conditional logic
If your form uses conditional logic to show or hide the email field based on previous answers, some submissions may have an empty email cell. Empty cells do not affect extraction.
WordPress database size
Ninja Forms stores all submissions in the WordPress database. Large numbers of submissions can increase database size. Regular exports and cleanup help manage database performance.
File upload fields
Ninja Forms supports file upload fields. Uploaded files are stored on the WordPress server, not in the CSV export. The export includes the file path or URL, not the file contents.
Add-ons and integrations
Ninja Forms has add-ons for CRM integration (Salesforce, Zoho CRM), email marketing (Mailchimp, ActiveCampaign, Constant Contact), payment processing (Stripe, PayPal) and more. These add-ons push data to external services in real time. The CSV export provides a snapshot of all stored submissions regardless of whether integrations were active.
