How to Extract Emails from WPForms Submissions

Why Extract from WPForms?
WPForms is a WordPress form builder plugin used to create contact forms, registration forms, surveys, payment forms, newsletter sign-up forms and other data collection tools on WordPress websites. It stores form entries in the WordPress database and provides an entry management interface within the WordPress admin dashboard.
Extracting email addresses from WPForms entries is useful in several scenarios.
Building an email list. Contact forms, registration forms and newsletter sign-up forms collect email addresses that you may want to import into a CRM or email marketing platform.
Migrating to a new platform. When switching from WordPress to another CMS, or from WPForms to another form builder, extracting respondent email addresses ensures no contacts are lost.
Consolidating contacts. If you run multiple WPForms on different pages or even different WordPress sites, extracting from each and deduplicating reveals your total unique respondent count.
Backing up form data. Having a separate extracted email list provides a backup independent of your WordPress database.
How to Export from WPForms
WPForms Pro and higher plans include an entry export feature.
Exporting entries
- Log in to your WordPress admin dashboard.
- Go to WPForms > Entries.
- Select the form whose entries you want to export.
- Click Export All (or use the export option in the entries toolbar).
- WPForms generates a CSV file containing the entry data.
- Optionally filter by date range, search term or entry status before exporting.
- Download the CSV file.
WPForms Lite limitations
WPForms Lite (the free version) does not include entry storage or export. Submissions are only sent via email notifications. If you use WPForms Lite, you would need to extract from the notification emails instead (save them as EML or MSG files).
Export fields
The exported CSV includes one row per entry and one column per form field. If your form collects email, name, phone, message and custom fields, all appear as columns. The export may also include entry ID, date, user agent and other metadata.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file (or multiple files from different forms). Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.
Working with the Results
Import into a CRM
The extracted list can be imported into HubSpot, Salesforce, Pipedrive or any CRM. This is useful when your WordPress contact form is your primary lead collection point.
Import into an email marketing platform
Import the list into Mailchimp, ActiveCampaign, Kit, MailerLite or another email marketing platform to add form respondents to your mailing list.
Combine entries from multiple forms
Upload exports from all your WPForms together. Deduplication shows your total unique respondent count across all forms and pages.
Compare with plugin integrations
WPForms integrates with email marketing platforms and CRMs through add-ons. If you use these integrations, comparing the extracted WPForms email list with your CRM or email platform export verifies that all entries were synced.
Verify addresses
Form submissions may contain typos or spam entries. Running the extracted list through a verification service removes invalid addresses. See Best email verification services.
Things to Know
Column headers are not extracted
CSV column headers from WPForms exports are field labels, not email addresses, so they do not appear in the extracted results.
Entry data is not preserved
Email Extractor outputs email addresses only. Names, phone numbers, messages, custom fields and metadata from the WPForms export are not carried over.
Spam entries
WPForms includes spam protection options (honeypot, reCAPTCHA, hCaptcha, Akismet). Despite these protections, some spam entries may still be stored. Spam entries with fake email addresses will be extracted. Verification after extraction helps filter these out.
Multiple email fields
If a WPForms form has multiple email fields (e.g., a primary email and a confirmation email), all email addresses from the export are extracted. This may include duplicate entries where the primary and confirmation match.
Notification emails as an alternative
If you use WPForms Lite (which does not store entries), form submissions are sent as notification emails. You can save these emails as EML or MSG files and extract email addresses from them using Email Extractor. Note that Email Extractor reads the header and body text of EML and MSG files but does not process attachment contents.
Multi-site installations
If you run WordPress multisite with WPForms on multiple sites, export from each site separately and upload all CSV files together for cross-site deduplication.
Payment forms
WPForms supports payment forms through Stripe, PayPal and other integrations. Payment form exports may include transaction-related columns alongside contact information. These do not affect email extraction.
Conditional logic
If your form uses conditional logic to show or hide the email field based on previous answers, some entries may have an empty email cell. Empty cells do not affect extraction.
