How to Extract Emails from a Close CRM Export

Why Extract from Close CRM?
Close is a CRM platform built for sales teams. It combines contact management, email, calling, SMS and pipeline tracking in a single interface. Close stores lead records that contain contacts, each with email addresses, phone numbers, titles and custom fields. It also tracks email threads, call recordings, notes and deal information.
Extracting email addresses from Close CRM data is useful in several scenarios.
Migrating to another CRM. When switching from Close to a different CRM (HubSpot, Salesforce, Pipedrive), a clean email list helps verify that all contacts made it to the new system.
Building an email campaign list. If you want to reach Close contacts through a dedicated email marketing platform, extracting the email addresses gives you a list to import.
Consolidating contacts. If your organisation uses Close for sales alongside other tools for marketing, support and operations, extracting from each and deduplicating reveals your total unique email-address count.
This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.
Backing up contacts. Before changing plans, restructuring your sales team, or merging Close organisations, extracting ensures you have an independent copy of every contact's email address.
How to Export from Close
Close allows you to export leads and contacts.
Exporting leads with contacts
- Log in to Close.
- Go to the Leads view.
- Apply any Smart View filters if you want a subset (by status, pipeline stage, assigned user, etc.), or use the "All Leads" view.
- Click the Export button.
- Choose which fields to include. Contact email addresses are included when you export lead data with contact fields.
- Close generates a CSV file. For large exports, you may receive an email when the file is ready.
- Download the CSV.
Export structure
Close's data model groups contacts under leads (companies). A single lead can have multiple contacts, each with their own email addresses. The CSV export typically shows one row per contact or one row per lead with contact information in nested columns, depending on how the export is configured.
Export fields
Close exports can include: lead name (company), contact name, email addresses, phone numbers, lead status, pipeline and opportunity data, custom fields, tags, assigned user, creation date, last activity date and more.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources if you uploaded multiple files.
Working with the Results
Combine with marketing platform contacts
Upload your Close export alongside an export from your email marketing platform (Mailchimp, ActiveCampaign, HubSpot Marketing). Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Confirm subscription or membership status in the original records; matching addresses alone do not establish a current active membership. This helps align sales and marketing efforts.
Compare with other CRMs
If your organisation is migrating from Close or running Close alongside another CRM during a transition, export from both and extract together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Confirm subscription or membership status in the original records; matching addresses alone do not establish a current active membership.
Identify contacts vs leads
If Close's export produces one row per lead (company), a single row may contain multiple email addresses (one per contact at that company). Email Extractor scans all text in each row, so all addresses are captured regardless of the CSV structure.
Verify before outreach

Things to Know
Multiple email addresses per contact
Close contacts can have multiple email addresses (work, personal, etc.). All email addresses in the export are extracted. This means a contact with two addresses contributes two entries to the extracted list.
Column headers are not extracted
CSV column headers from Close are text, not email addresses, so they do not appear in the extracted results.
Contact data is not preserved
Email Extractor outputs email addresses only. Contact names, lead/company names, phone numbers, deal values, pipeline stages, call logs, email threads, notes and custom fields from the Close export are not carried over. If you need those fields, import the original CSV directly.
Team email addresses
If your Close account uses shared email addresses for the sales team (e.g., sales@example.com connected as a sending address), these team addresses may appear in some export fields. They will be included in the extracted results alongside contact addresses.
Deleted and merged leads
Deleted leads are not included in standard exports. Merged leads appear once under the surviving record. If you need deleted leads, check Close's data recovery options or contact their support.
