How to Import Extracted Emails into Close CRM

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Import into Close CRM?

Close is a CRM built for inside sales teams. It provides lead and contact management, a sales pipeline, built-in calling, SMS, email sequences, reporting, workflow automation and a power dialer. Close is designed for fast-moving sales teams that make high volumes of calls and send outreach emails directly from the CRM.

After extracting email addresses with Email Extractor, you can import them into Close to create leads and contacts, add them to email sequences, manage them through your sales pipeline and track outreach.

Preparing the File

Email Extractor gives you three download formats:

TXT file. One email per line. Not ideal for Close import.

CSV file. One column of email addresses. Works for import.

CSV with sources. Two columns: email and source file. Map only the email column during import.

For Close, CSV is the recommended format.

How to Import

  1. Log in to Close.
  2. Go to Leads.
  3. Click the Import button.
  4. Upload the CSV file.
  5. Map the email column to the Contact Email field.
  6. Choose how to handle duplicates (skip, update or merge).
  7. Close creates a lead for each row. Each lead contains a contact with the mapped email address.
  8. Review the import summary showing leads created, updated and skipped.

After Import

Add to an email sequence

Close includes built-in email sequences for automated follow-up. Select the imported leads and enrol them in a sequence.

Assign to sales reps

Assign imported leads to specific team members using round-robin assignment, territory rules or manual assignment.

Add to Smart Views

Close uses Smart Views (saved filters) to organise leads. Create a Smart View that filters for imported leads (by import date, tag or custom field).

Use the power dialer

If you have phone numbers alongside emails (from the original source data), Close's power dialer allows high-volume calling directly from the CRM.

Things to Know

Lead and contact structure

Close uses a lead-contact model. A lead represents a company or opportunity, and contacts are the people at that lead. When importing emails only, Close creates one lead per email with one contact attached.

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, phone numbers, job titles and other fields will be blank after import. Add this data manually, through enrichment or by importing a more complete file from the original source.

Email sequences

Close's email sequences send from your connected email account. Imported contacts can be enrolled in sequences immediately after import.

Built-in email

Close sends and receives email natively (connected to Gmail, Outlook or other providers). All email communication with contacts is tracked in the CRM timeline.

Calling

Close includes built-in VoIP calling and a power dialer. Phone numbers are a separate field from email.

Lead limits

Close plans are priced per user, not per lead. There are no strict lead limits, but large imports may take time to process.

Email Extractor does not establish consent

Extracting email addresses does not create permission to send outreach emails. Ensure compliance with CAN-SPAM, GDPR and other regulations. See CAN-SPAM compliance guide.

Compliance

Close enforces sending limits and monitors email health. High bounce rates or spam complaints can affect your sending reputation within Close.
