How to Extract Emails from a Pipedrive Export

Why Extract from Pipedrive?
Pipedrive is a CRM built around sales pipelines. It stores contact data in two main categories: People (individual contacts) and Organizations (companies). Each person record can have one or more email addresses, along with phone numbers, deal associations, activity history, notes and custom fields.
Extracting just the email addresses from Pipedrive data is useful in several scenarios.
Migrating to another CRM. When switching from Pipedrive to a different CRM, a clean email list serves as a cross-reference alongside the full data migration to ensure no contacts were lost.
Building an email marketing list. While Pipedrive integrates with email marketing platforms, you may want a standalone email list for use with a tool Pipedrive does not directly connect to.
Consolidating across systems. If contacts live in Pipedrive, an email platform, a form builder and various spreadsheets, extracting from all sources and deduplicating produces one complete list.
Auditing pipeline contacts. Extracting and counting unique email addresses from Pipedrive gives you a quick picture of how many distinct contacts your sales team has recorded across all deal stages.
How to Export from Pipedrive
Pipedrive provides export functionality for its main data types.
Exporting People (contacts)
- Log in to Pipedrive.
- Go to Contacts and select the People tab.
- Apply filters if you want a subset (e.g., contacts associated with won deals, contacts from a specific source, contacts added in the last year).
- Click the Export button (or select Export data from the menu).
- Choose which fields to include. Make sure the email field is selected.
- Choose CSV or Excel as the format.
- Download the file.
Exporting from different views
Pipedrive also allows exports from the Deals view, Activities view and other sections. However, for email extraction, the People export is the primary source since that is where contact email addresses are stored.
If you also want email addresses associated with Organizations (company-level email addresses), export the Organizations list separately.
Multiple email addresses per contact
Pipedrive supports multiple email addresses per person (e.g., work and personal). In the CSV export, these may appear in separate columns or as semicolon-separated values within a single column, depending on the export version. How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV or XLSX file. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Identify contacts across deal stages
If you export Pipedrive data with deal stage information and want to segment contacts by stage, work with the original export file for the segmentation, then extract the email addresses from each segment's filtered export. Alternatively, apply filters in Pipedrive before exporting: export contacts associated with "Won" deals separately from those in "Open" or "Lost" deals.
Combine with other CRMs
If your team has used multiple CRMs over time, or if contacts are split between Pipedrive and another system (HubSpot, Salesforce, Zoho CRM), export from each and upload all files in a single extraction. Deduplication reveals the total number of unique contacts across all systems.
Clean up inactive contacts
Pipedrive may contain contacts from years of sales activity, including people who never responded, deals that were lost long ago, and contacts who have changed companies. The extracted list gives you a count of all unique addresses, which you can then verify with an email verification service to identify addresses that are no longer deliverable. Prepare for an email campaign
If you want to run an email campaign to your Pipedrive contacts through a platform other than Pipedrive's built-in email, extracting produces a clean list to import. Verify the list first if you have not emailed these contacts recently.
Things to Know
Column headers are not extracted
CSV column headers like "Person - Email" or "Email" are text, not email addresses, so they do not appear in the extracted results.
Names and deal data are not preserved
Email Extractor outputs email addresses only. Contact names, organisations, deal values, pipeline stages, activity logs and custom fields from the Pipedrive export are not carried over. If you need those fields in your new system, import the original Pipedrive export directly.
User permissions
Depending on your Pipedrive user role, you may not be able to export all contacts. Administrators and users with export permissions can export the full database. If you cannot see the export option, check your permissions or ask your Pipedrive administrator.
Archived and deleted contacts
Pipedrive's export includes active contacts. Archived or deleted contacts are not included unless you specifically export from an archived or filtered view. If you need email addresses from deleted contacts, they may need to be recovered from a backup or from Pipedrive's data retention period before exporting.
