How to Extract Emails from FreshBooks Clients

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from FreshBooks?

FreshBooks is a cloud accounting and invoicing platform designed for small businesses, freelancers and service providers. It provides invoicing, expense tracking, time tracking, project management, estimates, payments, reporting and client management. Every client in FreshBooks has an email address used for sending invoices, estimates and other communications.

Extracting email addresses from FreshBooks client data is useful for building a mailing list of past and current clients, importing into a CRM or email marketing platform, migrating to another accounting tool or creating a backup.

How to Export from FreshBooks

Exporting clients

  1. Log in to FreshBooks.
  2. Go to Clients.
  3. Click Export or look for a download option.
  4. Download the client list as CSV.
  5. The CSV includes email, name, company, phone, address and other client details.

Exporting from invoices

  1. Go to Invoices.
  2. Filter by date range, status or client.
  3. Export invoices. The export includes client email for each invoice.

Using the API

FreshBooks provides an API for accessing client data programmatically. Export clients to a file using the API for larger datasets.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file exported from FreshBooks. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Build a client mailing list

Import the extracted list into an email marketing platform for newsletters, service updates, seasonal promotions or year-end summaries. Your existing clients are your most valuable contacts.

Import into a CRM

If you use a CRM alongside FreshBooks, import extracted emails to maintain a unified contact database.

Migrate to another platform

If switching from FreshBooks to another accounting tool (QuickBooks, Xero, Wave), extract client emails to re-create client records in the new platform.

Verify addresses

Client email addresses used for invoicing are usually valid because clients receive and interact with invoices at those addresses. Older records for inactive clients may be outdated. See Best email verification services.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Client names, companies, addresses, phone numbers and other details are not carried over.

Multiple contacts per client

Some client records in FreshBooks have multiple email addresses (primary and CC). The extraction captures all email addresses found in the file.

Archived clients

FreshBooks allows archiving inactive clients. Depending on your export settings, archived clients may or may not be included. Check before exporting.

Invoice recipients vs clients

If you send invoices to a billing contact different from the main client contact, both email addresses may appear in exports.

The client export does not include your own team members or staff. Those are in the team settings.
