Every invoicing platform stores client email addresses because invoices are delivered by email. Over months and years of invoicing, these platforms build a complete record of everyone you have billed. For freelancers, agencies and service businesses, the invoicing tool often holds the most accurate and up-to-date client contact list.

Extracting client emails from invoicing tools is useful for building a mailing list, importing into a CRM or email marketing platform, consolidating contacts from multiple billing tools, migrating to a new platform or creating a backup.

FreshBooks

FreshBooks is a cloud accounting and invoicing platform for small businesses and freelancers. It provides invoicing, expense tracking, time tracking, project management and reporting.

How to Extract from Any Invoicing Tool

The process is the same across platforms:

  1. Export clients, customers or contacts from the invoicing tool as CSV.
  2. Go to bulkemailextractor.com.
  3. Select "Text and files."
  4. Upload the file (or files from multiple tools). Up to 25 MB per file, 100 MB per batch.
  5. Click "Extract emails."
  6. Review the results. Duplicates across all files are removed automatically.
  7. Download as TXT, CSV, or CSV with sources.

Consolidating Across Invoicing Tools

If you have used multiple invoicing tools over the years (or use different tools for different businesses), export clients from each and upload together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original transaction records to confirm purchases and match customers; unique addresses are not a count of unique people.

After Extraction

Build a client mailing list

Import extracted emails into an email marketing platform for newsletters, service updates, seasonal promotions or re-engagement campaigns. Clients you have invoiced are warm contacts who already know your business.

Import into a CRM

If your invoicing tool does not include CRM features, import extracted emails into HubSpot, Salesforce or another CRM for relationship management and follow-up tracking.

Verify addresses

Consider consent

Invoicing emails were collected for billing purposes. Using them for marketing may require additional consent depending on your jurisdiction. Check applicable regulations (GDPR, CAN-SPAM, CASL).
